Legal Receptionist & Intake Coordinator

Pay: $16.00–$18.00 per hour, based on experience
Job Type: Full-time, in-office
Schedule: Monday–Friday, beginning at 8:30 a.m.
Location: Downtown Gulfport, MS 39501

About the Role

Healy & Jordan, PLLC is seeking a professional and highly organized Legal Receptionist & Intake Coordinator to join our downtown Gulfport office.

This position manages the firm’s front desk and serves as the first point of contact for clients and prospective clients. Responsibilities are introduced in stages during the first several weeks to allow for training, but all listed duties are part of the position.

The ideal candidate is dependable, detail-oriented, adaptable, and comfortable balancing deadlines and competing priorities within a structured team environment.

Responsibilities

  • Answer multiple phone lines and route calls professionally
  • Greet clients, manage appointments, and maintain the reception area
  • Screen prospective clients and schedule consultations according to firm procedures
  • Monitor website contact forms and promptly contact new inquiries
  • Maintain accurate intake records and consistent prospective-client follow-up
  • Manage calendars, messages, mail, and daily front-office tasks
  • Enter and maintain information in Clio and other firm systems
  • Manage new-client file setup and prepare engagement agreements from approved templates (training provided)
  • Keep the lobby and shared office spaces presentable and stocked

Qualifications

  • Strong telephone, communication, and customer-service skills
  • Ability to work attentively under pressure and manage frequent interruptions
  • Excellent attention to detail and follow-through
  • Ability to learn and consistently follow established procedures
  • Professional judgment, initiative, and problem-solving skills
  • Strong basic computer skills
  • Reliable, punctual, discreet, and professional

High school diploma or equivalent required. At least two years of receptionist, intake, customer-service, or administrative experience in a professional setting is preferred. Multi-line phone experience is strongly preferred. Law-office experience and familiarity with Clio are helpful but not required.
