Description & Requirements Womble Bond Dickinson (US) LLP is seeking Legal Practice Assistant for their Phoenix, AZ office. This role will support the Tribal Affairs Practice Group. The ideal candidate will have the ability to work independently, maintain confidentiality, provide project support, delegate general administrative work, and work for multiple timekeepers monitoring the flow of work and client contact. A successful candidate will be able to deliver excellent work and superior service to the firm and its clients;

RESPONSIBILITIES
:
Create, format, edit, proofread and manage Word documents, Excel spreadsheets and PowerPoint presentations
Maintain client and administrative filing for lawyers pursuant to established procedures
Perform routine filing, photocopying, scanning, faxing, and distributing of documents
Identify and coordinate available services provided by administrative departments such as office services, accounting, records, etc.
Data maintenance, data/electronic document management, and reporting, in compliance with firm policies using document management software and spreadsheets
Manage and maintain team members’ schedules and calendars
Track, organize and process expense reports, reimbursements and check requests using electronic submission system (Chrome River)
Review and edit client bills to ensure conformance with client billing requirements
Manage conflicts checks, open new client matters, and prepare engagement letters
Supervise the preparation of travel including hotel, flights, and car rentals
Prepare materials for meetings during travel, important contact information, and locations for events/meetings
Work with external and internal resources to coordinate food and beverage services, reserve rooms and prepare materials
Schedule and organize onsite and offsite meetings, speaking engagements, client proposals, conferences and events
Establish and maintain cooperative, diplomatic working relationships with co-workers, attorneys and supervisors
Complete projects under tight deadlines even when there are competing requirements and shifting priorities
Establish and maintain ongoing positive business relationships with clients, paralegals, attorneys, and staff
Research information as requested by attorneys and/or paralegals
Present information and respond to questions from individuals or groups of managers, clients, and timekeepers in a professional and timely manner
REQUIREMENTS:
At least 5 years of administrative assistant experience, with at least 2 years of executive-level support required
5 years of experience in business transactions, economic development, tribal law, or gaming law are preferred
Ability to adapt to changes in work environment, manage competing demands, and shifting priorities with finesse
Must possess strong technical, organizational, and administrative skills
Must exhibit sound and accurate judgment; know when to make decisions and when to ask for help; be able to support and explain reasoning for decisions; include appropriate chain of command in decision-making process; and make timely decisions
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Must be available to work overtime on occasion
Must be a team player who responds well to constructive feedback and adjusts accordingly
Professional demeanor and experience communicating through different channels, and with different personalities/audiences
