Owen Reed is looking for a Legal PA on a 12-month fixed-term contract for a top law firm in London. You will join the firm’s highly regarded Real Estate team, providing dedicated support to partners and fee earners in a fast-paced and collaborative environment. You will provide proactive, high-level support to partners and fee earners, playing a key role in ensuring the smooth running of a busy practice while delivering exceptional client service.
The Role As a Legal PA, you will provide comprehensive administrative and organisational support, helping fee earners manage client matters efficiently while maintaining the highest standards of service.
Key Responsibilities Provide proactive PA support to partners and fee earners within the Real Estate team. Manage complex diaries, meetings, travel arrangements, and resolve scheduling conflicts. Support billing, reporting, matter balances, and working capital management alongside Finance teams. Assist with client matter inception, engagement letters, matter specifications, and file management. Complete conflict checks and Client Due Diligence processes in line with firm procedures.
Liaise with the Business Development team to support events, conferences, CRM administration, fee earner CVs, bids, tenders, and credentials. Support Client Relationship Partners with client meetings, reporting, and relationship management activities. Coordinate meeting logistics, prepare meeting packs, itineraries, and hospitality arrangements. Delegate document production tasks, including legal documents, pitches, tenders, and transcripts. Manage file closures, billing completion, WIP clearance, and file archiving.
Ensure compliance with firm policies, risk procedures, and mandatory training requirements. About You To succeed in this role, you will have:
At least 3 years’ experience as a Legal PA, Legal Secretary, or Executive Assistant within a law firm or professional services environment. Previous experience supporting Real Estate or Property teams is highly desirable. Excellent organisational and diary management skills. Strong knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint. Exceptional communication skills with excellent grammar and attention to detail.
Experience supporting billing, matter management, and client administration. The ability to prioritise multiple tasks in a fast-paced environment. A proactive, flexible, and client-focused approach.
