Job Description

The Stafford County Administration office is seeking a dedicated individual to serve as its Administrative Specialist. This position provides administrative support to the County Administration office, provides excellent customer service to the public and to County Departments, assists the office with preparation of complex documents, spreadsheets, and files and assists with materials and room preparation for Board of Supervisors meetings. The ideal candidate is punctual, has excellent customer service skills, can excel in a fast-paced environment, and has 1 – 3 years of administrative experience. Prior experience in local government is strongly preferred.

There are two levels for the Administrative Specialist

Level I:

The hiring range is from $18.55/hour to $25.51/hour based on experience.

The full salary range is from $18.55/hour to $32.47/hour to provide opportunity for growth and development.

Level II:

The hiring range is from $21.24/hour to $29.21/hour based on experience.

The full salary range is from $21.24/hour to $37.17/hour to provide opportunity for growth and development.

Examples of Duties

Provides primary office assistance and administrative support in a department following established procedures and making informed decisions and recommendations; coordinates the preparation and maintenance of detailed, complex, and/or confidential records and files; prepares reports; assists the public; may provide limited supervision over supportive office personnel.

Greets and directs visitors appropriately; provides customer service to the general public;
Assists the general public and internal customers by providing information and answering questions in person, via e-mail or over the phone.
Assists and supports in taking inquiries and complaints from the public.
Coordinates the arrangement of multiple types of meetings and conferences; manages and organizes multiple calendars.
Takes and transcribes dictation and types meeting minutes; checks items for clerical accuracy and completeness.
Prepares and maintains a variety of office files, accounts and other records; compiles information and verifies data.
Prepares and maintains a variety of office files, accounts, and other records.
Enters a variety of data into computer; verifies statistical and other records for accuracy and completeness; enters and retrieves sensitive and restricted information into computer system.
Operates a variety of standard office equipment.
Performs related tasks as required.

Knowledge, Skills and Abilities

General knowledge of the organization and functions of the department and of general administrative policies and practices; general knowledge of standard office practices, procedures, equipment and office assistance techniques; general knowledge of business English, spelling and arithmetic; ability to read, understand and interpret difficult materials with complicated information that may contain excerpts from regulatory and/or legal documents; ability to keep office records and to prepare accurate reports from file sources; ability to perform and organize work with supervision; ability to prepare effective correspondence on routine matters and to perform office management details with minimal support of others; ability to operate standard office and computer equipment including ability to operate specialized software; ability to establish and maintain effective working relationships with associates and the general public.

Education and Experience

Administrative Specialist I:
Any combination of education and experience equivalent to high school and 1 year of experience in administrative and office work.
Graduation from an accredited community college with major course work in business management or related field is desired.

Administrative Specialist II:

Any combination of education and experience equivalent to high school and 3 years of experience in administrative and office work.
Graduation from an accredited community college with major course work in business management or related field is desired.
