Job Summary: We are seeking a highly organized and detail-oriented Legal Secretary/Paralegal to support our legal team. The ideal candidate will play a vital role in ensuring the efficient operation of our office by managing administrative tasks along with case flow for trust administrations and probates, preparing documents, maintaining client relations, and other things as assigned by the team. This position requires the ability to juggle multiple types of cases (probates, administrations and complimentary litigation). In doing so, the successful candidate will be able to balance administrative and paralegal expertise while using strong communication skills, and handling confidential information with professionalism.

Key Responsibilities:

Maintain calendars for trust administration files
Follow and implement task lists for trust administration as determined by the attorney(s)
Strong attention to detail in a fast paced environment
Self-starter with initiative though secure asking questions and seeking guidance
Naturally takes ownership of tasks of client matters
Able to manage document drafting, formatting, proofreading, and filing legal documents (e.g., contracts, pleadings, subpoenas, and correspondence) often in the same day on multiple clients
Gather supporting documentation or the like.
Maintain and organize case files, ensuring all records are accurate and up to date.
Assist with case preparation, including document reviews, and support for hearings, for multiple attorneys
Serving as a point of contact for clients, providing updates and answering routine inquiries.
Maintain and manage billing, invoicing, and timekeeping for legal services rendered.
Stay updated on legal procedures, filing requirements, and regulations.
Ability to stay focused while enjoying being part of a team

Qualifications:

Bachelor’s degree in Legal Studies, Paralegal Studies, or a related field (or equivalent work experience).
Certification as a paralegal is preferred; notary is a plus.
Proven experience as a Secretary and/or Paralegal in a law firm or corporate legal department.
Strong understanding of legal terminology, procedures, and documentation.
Proficiency in legal research tools (e.g., LexisNexis, Westlaw), office software (e.g., MS Office Suite, Smokeball (or something similar)).
Excellent organizational, time management, and multitasking skills.
Strong written and verbal communication skills with attention to detail.
Ability to maintain confidentiality and exercise discretion.
Strong and demonstrated interest in estate planning and administration.

Working Conditions:

Office-based role with opportunity for remote two days a week
Pay is DOE
Benefit package includes – health benefits at 30 hours a week, 401K, wellness reimbursement stipend

Job Types: Full-time, Part-time

Pay: $40,000.00 – $75,400.95 per year

Expected hours: 20 – 35 per week
