Legal Executive Assistant
DLA Piper is seeking a Legal Executive Assistant (LEA) to support attorneys by managing the day‑to‑day functions of their practice, allowing them to focus on client service and business development. The LEA serves as an executive‑level assistant, creating connections, delivering critical information, ensuring meetings and materials are accurate, and acting as a trusted partner to help deliver on the priorities of the practice and clients.
Summary
This position is located in our Chicago office and offers a hybrid work schedule. The LEA collaborates closely with Legal Administrative Assistants (LAA) and Legal Support Assistants (LSA) to ensure smooth operation of the attorney’s practice area and to represent the firm professionally.
Responsibilities
- Provide support and management of the attorney’s projects, ensuring deadlines are met and tasks are completed efficiently.
- Consult with lawyers and administrative teams to ensure project milestones are adhered to.
- Serve as a liaison between attorneys, clients, and other internal departments, handling inquiries and relaying messages accurately.
- Utilize independent judgment and the ability to make sound decisions when responding on behalf of the attorney.
- Develop and maintain professional relationships to ensure teams work together efficiently and effectively.
- Provide clear direction and constructive feedback on projects and assignments.
- Build trust, resolve conflicts, and collaborate effectively with people at all levels of the organization.
- Delegate assignments as necessary to LSAs and ensure timely and accurate completion.
- Monitor progress of assignments and communicate on behalf of the attorney with support teams to ensure successful project outcomes.
- Deliver service feedback and make improvement recommendations to firm management teams.
- Collaborate as necessary with other LEAs or LAAs to complete more complex projects or provide administrative support for attorneys.
- Provide mentorship and support to LSAs assisting with projects and give feedback for their professional development.
- Draft, proofread, and finalize legal documents, correspondence, and presentations on behalf of the attorney, reviewing and ensuring accuracy of final work product.
- Oversee the maintenance and organization of electronic and paper filing systems within the firm’s DMS/repositories, ensuring work products are accessible and up to date.
- Conduct research on behalf of the attorney and practice group, compiling information for case preparation and executive briefings.
- Oversee meeting planning and coordinate with internal and external parties to ensure logistical details are in place; prepare meeting agendas and ensure materials are accurately prepared.
- Ensure the attorney and meeting attendees receive support and that requests initiated during meetings are managed promptly.
- Oversee billing matters, process prebills, and serve as a proxy for attorneys to address billing questions or issues.
- Manage the attorney’s calendar, schedule meetings, resolve conflicts, and organize complex travel itineraries.
- Communicate potential conflicting priorities to the attorney and offer solutions.
- Ensure the attorney’s expenses and time entry are processed correctly and in a timely manner.
