Job Description

We are seeking a highly organized, proactive, and detail-oriented Legal Executive Assistant to provide executive-level support to attorneys within a demanding legal practice. This role requires exceptional judgment, discretion, and the ability to anticipate needs while managing multiple priorities in a fast-paced environment.

The ideal candidate will have extensive experience supporting senior-level executives or attorneys, managing complex calendars, coordinating travel, handling confidential communications, and overseeing administrative and operational responsibilities with minimal supervision.

Key Responsibilities

Executive & Administrative Support

  • Provide high-level administrative support to attorneys and legal professionals
  • Draft, edit, proofread, and format correspondence, presentations, and legal documents
  • Organize, maintain, and archive electronic and physical files in accordance with firm policies
  • Manage document storage within document management systems
  • Exercise sound judgment while handling confidential and sensitive information
  • Act as a trusted gatekeeper by screening, prioritizing, and managing incoming requests

Calendar & Meeting Management

  • Manage complex calendars across multiple attorneys, clients, offices, and time zones
  • Coordinate internal and external meetings, conference rooms, video conferencing, and meeting logistics
  • Anticipate scheduling conflicts and proactively resolve competing priorities
  • Ensure attorneys are prepared for upcoming meetings, deadlines, and commitments

Travel Coordination

  • Coordinate domestic and international travel arrangements
  • Maintain travel profiles, frequent flyer information, passport details, and travel preferences
  • Prepare travel itineraries and manage travel-related logistics

Client Relationship Management

  • Deliver exceptional service to internal and external clients
  • Serve as a primary point of contact while maintaining professionalism and discretion
  • Build strong relationships with attorneys, clients, and business professionals
  • Independently manage requests and follow through to successful completion

Billing & Expense Management

  • Process and reconcile business expenses in expense management systems
  • Review calendars, emails, and supporting documentation to accurately classify expenses
  • Manage attorney time entry and proactively ensure deadlines are met
  • Coordinate with billing teams to review pre-bills, facilitate revisions, and support timely client invoicing

Project & Operational Support

  • Utilize Excel to track data, reporting, and operational processes
  • Support special projects and administrative initiatives as needed
  • Maintain accuracy while managing multiple projects simultaneously

Team Collaboration

  • Foster strong communication and collaboration across administrative teams
  • Participate in training sessions, knowledge-sharing initiatives, and professional development opportunities
  • Contribute to a positive, team-oriented culture while providing support across the department when needed

Qualifications

  • Bachelor's degree required
  • 7+ years of Executive Assistant or Legal Executive Assistant experience required
  • Prior experience supporting senior executives or attorneys within a legal environment
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Microsoft 365
  • Experience with document management, expense management, billing, calendar, and travel coordination systems preferred
  • Experience with platforms such as iManage, Intapp, Chrome River, or similar legal technology is a plus
  • Exceptional organizational, time management, and multitasking skills
  • Strong written and verbal communication abilities
  • Ability to manage competing priorities with professionalism, discretion, and attention to detail
  • Proven ability to work independently in a demanding, fast-paced environment
  • Strong client service mindset with a proactive, solution-oriented approach
