Job Title: Production Assistant / Administrative Assistant- PART TIME

This position will serve in-person.

There are two options for work hours – Monday – Friday 10 am – 3 pm.

Primary Duties and Responsibilities:

Scan, rename, label, catalog, and/or print exhibits in a timely manner. Ship and email exhibits to agencies.
End Production: Print, bind, and ship sealed original.
Deliver original transcripts to client offices as needed.
Send Errata Not Received notifications and Errata Received notifications.
Input new depositions to the Solaria database (at least 40 a week).
QC, produce, and submit transcripts to client portal (at least 1 hour a day).
Accurately input orders for completed transcripts into Solaria database.
Check for duplicate cases, attorneys, firms, and contacts within the database and merge to keep clean.
Assist Assistant General Manager with client database management.
Reconcile checks and make a bank deposit once a week.
Print client statements once a month and mail them out.
Assist Accounting Manager with making collection calls twice a month.
Answer and direct all inbound calls from the multi-line telephone system to the appropriate individual. Take and direct messages, as necessary.
Serve as a concierge to guests that come to the office.

Skill and Knowledge Requirements

· Exceptional attention to detail.

· Friendly, welcoming, personable, and professional attitude and appearance.

· Experience in an oftentimes fast-paced environment and meet last-minute demands.

· Knowledge and skills regarding all general office equipment including computers, telephones, and copiers.

· Ability to perform multiple tasks simultaneously, independently, and to prioritize multiple demands effectively.

· Know how to problem solve while maintaining a professional and calm demeanor.

· Ability to learn new skills, adapt to new situations, and maintain flexibility in a continuously evolving and improving environment.

· Must be able to work with repeated interruptions and juggle many tasks while maintaining attention to detail.

· Basic knowledge and skill with Microsoft Office products including Word, Excel, PPT, Outlook.

· Maintain confidentiality and to represent B&A Litigation in a manner consistent with its decorum.

Job Type: Part-time

Pay: $18.00 – $20.00 per year
