Position Overview

Bright Behavioral Health is seeking a detail-oriented and compassionate Client Intake Specialist to join our team. The successful candidate will be responsible for managing the initial contact and onboarding process for new clients, ensuring a seamless and supportive experience as they begin their journey with our ABA services. This role is critical in setting the tone for our client relationships, and the ideal candidate will exhibit excellent communication skills, organizational expertise, and a deep commitment to client care.

Key Responsibilities

Initial Client Contact:
Serve as the first point of contact for prospective clients via phone, email, and in-person interactions.
Provide clear and accurate information about our ABA services, treatment programs, and the intake process.
Intake Coordination:
Schedule and coordinate initial assessments and intake appointments.
Collect, review, and accurately enter client information into the electronic health record (EHR) system.
Collaborate with clinical teams to ensure a smooth transition from intake to ongoing care.
Documentation & Record Keeping:
Maintain confidential client records in compliance with HIPAA and company policies.
Prepare and update intake documentation and client files.
Client Support:
Address client inquiries, concerns, and follow-ups promptly.
Assist clients with understanding insurance coverage, billing processes, and scheduling.
Collaboration & Communication:
Work closely with clinicians, therapists, and administrative staff to coordinate client services.
Participate in team meetings and training sessions to stay informed about program updates and company initiatives.
Quality Assurance:
Ensure all intake processes are completed accurately and efficiently.
Identify and report any discrepancies or potential issues in client information or scheduling.

Qualifications

Education & Experience:
High school diploma or equivalent required; Associate’s or Bachelor’s degree in healthcare administration, psychology, social work, or a related field preferred.
Previous experience in a healthcare, behavioral health, or administrative role is a plus.
Skills & Competencies:
Exceptional verbal and written communication skills.
Strong organizational and multitasking abilities.
Proficient in Microsoft Office Suite and experience with electronic health record (EHR) systems.
Ability to handle sensitive and confidential information with discretion.
Empathetic, patient, and solution-focused attitude.
Certifications:
Certification in intake or related administrative skills is an asset (e.g., Certified Patient Service Specialist).
