Job Description:
We are seeking a detail-oriented Licensing & Compliance Coordinator to support administrative and regulatory compliance activities across multiple business locations. This role is responsible for managing licensing applications, maintaining compliance with state and local regulations, and serving as a key liaison between internal teams and government agencies.
This is a contract position through October 5, 2026, with a hybrid work schedule (3 days onsite per week required).
Key Responsibilities
Manage the end-to-end process of state, county, and city contractor and business license applications, from submission through issuance
Interpret and apply state and local laws, regulations, and codes related to licensing compliance
Monitor and track changes to regulations that may impact business licensing requirements
Serve as the primary point of contact between the organization and governmental licensing agencies
Coordinate with internal departments, including Operations, Legal, Accounts Payable, and leadership teams
Support compliance efforts related to vendor registrations, bonds, insurance certifications, and license renewals
Collect and manage required documentation, including W9s, background checks, fingerprints, and personal information for license holders
Troubleshoot and resolve licensing compliance issues with regulatory agencies
Process license fees and coordinate check requests with Accounts Payable
Maintain accurate and organized records of all licensing documentation
Support special projects and additional compliance initiatives as needed
Required Qualifications
Combination of education and/or experience equivalent to 4 years in a related field
Minimum of 2 years of experience in licensing, compliance, legal support, or a related role
Strong understanding of regulatory processes and compliance requirements
Excellent written and verbal communication skills
Strong organizational and time management skills, with the ability to manage multiple priorities
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Ability to work independently and handle ambiguity in a fast-paced environment
Demonstrated attention to detail and accuracy
High level of integrity and professionalism
Collaborative mindset and strong team player
Preferred Qualifications
Associate’s degree or paralegal certification
Experience in a paralegal, legal assistant, or regulatory compliance role
Prior experience working with government agencies or licensing authorities
