Kennedy McCarthy & Rumm, LLP is a boutique employment law firm representing employers throughout California. We are seeking a highly organized and detail-oriented full-time Legal Calendaring Specialist to support our attorneys and legal team with litigation calendaring, deadline management, and related administrative responsibilities.

The ideal candidate is meticulous, dependable, and comfortable working in a fast-paced legal environment where accuracy and follow-through are essential.

Position Overview

This role works closely with our attorneys on employment litigation matters throughout the entire lifecycle of a case, including discovery, motion practice, depositions, and trial preparation. Our Firm operates in a fully digital environment and uses modern legal technology to streamline workflows and maintain organized case files while delivering outstanding client service.

The position follows a hybrid schedule, with three days each week in our Irvine office and the remaining workdays available for remote work.

Responsibilities

  • Review incoming court filings, notices, correspondence, discovery, and other case-related documents to identify applicable deadlines and events.
  • Calculate and enter litigation deadlines in accordance with California state and federal court rules, local rules, and applicable statutory requirements.
  • Maintain and monitor the Firm’s primary litigation calendar.
  • Calendar hearings, trials, conferences, discovery deadlines, filing deadlines, depositions, mediations, and other case-related events.
  • Review notices and filings to confirm dates, times, departments, locations, and appearance information.
  • Monitor upcoming deadlines and communicate important dates to attorneys, paralegals, and other team members.
  • Update calendar entries when hearings, deadlines, or other events are continued, rescheduled, or taken off calendar.
  • Perform routine calendar audits to ensure deadlines and events are accurately recorded.
  • Assist with coordinating attorney availability for hearings, depositions, mediations, meetings, and other events.
  • Maintain accurate case and calendar information within the Firm’s case management systems.
  • Assist with other administrative and litigation-support projects as needed.

Qualifications

  • Prior experience with California state and federal court procedures, legal calendaring, docketing, and litigation is required.
  • Strong attention to detail and ability to accurately calculate and track deadlines.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Comfortable working independently while communicating effectively with attorneys, paralegals, and staff.
  • Proficiency with Microsoft Outlook, Word, and other standard office applications.

Accuracy is critical in this role. We are looking for someone who takes ownership of their work, understands the importance of litigation deadlines, and consistently follows through. The right candidate will be proactive, organized, comfortable asking questions when necessary, and able to identify potential scheduling or deadline issues before they become problems.

Qualifications

  • 3+ years of litigation paralegal and/or legal calendaring experience (employment law experience strongly preferred)
  • Bachelor’s degree and/or Paralegal Certificate meeting California statutory requirements
  • Excellent organizational, proofreading, and time-management skills
  • Strong attention to detail and commitment to producing high-quality work
  • Ability to manage multiple cases and competing deadlines in a fast-paced environment
  • Excellent written and verbal communication skills
  • Professional demeanor with a positive attitude and collaborative, team-oriented mindset

Technology Experience

Experience with the following is preferred, although we are happy to train the right candidate:

  • Clio
  • ShareFile
  • OneLegal
  • Microsoft Office Suite (Word, Outlook, Excel)
  • Adobe Acrobat

Compensation & Benefits

  • This is a non-exempt position and compensation is $36.00 – $46.00/hour, depending on experience and qualifications.
