Certilman Balin Adler & Hyman, LLP, a prominent Long Island law firm, is seeking an enthusiastic and goal oriented full time Legal Secretary to support its Condominium/Cooperative/Homeowners Association practice group in East Meadow, NY. Ideal candidate has a desire to learn and grow within the department.
Responsibilities:
Open and maintain client files.
Collect and organize client files including the preparation of organizational documents required for submission of material to the New York State Attorney General’s Office.
Prepare and format documents (including mail merges) and proofread documents for accuracy.
Prepare binders for submission of required documents to New York State Attorney General’s Office and for delivery to clients.
Keep track of client documents requested and received on projects.
Provide administrative support for department attorneys, including but not limited to, answering telephones and emails; scanning documents and making copies; scheduling and coordinating meetings and conference calls; and entering data into the billing system.
Qualifications:
Must be organized and detail oriented.
Able to meet deadlines, multi-task and available to work occasional overtime.
Strong interpersonal communication and writing skills with the ability to effectively interact via telephone, e-mail and in-person with clients, attorneys, administrative agencies, etc.
Ability to work both independently as well as part of a team.
Proficient in Microsoft Office (Word, Excel, and Outlook).
2+ years legal secretarial experience (preferably general real estate or real estate transactions or regulatory).
Bachelor’s Degree preferred.
