Currently we are expanding and due to our growth, we are seeking to hire an experienced, motivated, Legal Billing Specialist to manage our firm’s billing and collections activities.
Job Description:
Reporting directly to the Chief Financial Officer, the Legal Billing Specialist will be responsible for the firm’s billing process. The right person for this position will demonstrate strong problem=solving skills and attention to detail, will fully understand the importance of being prompt and responsive to the needs of our clients, provide a high-level of support to team members, keep steady review of both past-due and current invoices, and consistently follow up with clients on all related billing and collection matters. Duties/Responsibilities
Produce work-in-progress and related reports for attorneys’ review. Provide additional review of time and expense entries and edit per attorneys’ direction or as needed. Create draft bills; execute final bills and send them to clients in a timely manner.
Edit client information in SmokeBall, our case management and billing system
Post client check, wire and ACH payments in SmokeBall billing application.
Post selected expenses in SmokeBall case management system; work with paralegal and support staff to ensure expenses are posted on a timely basis.
Create standard monthly and ad hoc billing reports and spreadsheets for analysis. Provide insight into monthly billing performance throughout the month tracking key performance indicators.
Prepare reminder bills for overdue balances and follow-up as appropriate. Professionally communicate with clients and/or provide support to attorneys to resolve billing and collection issues.
Advise staff on proper legal parameters for collections practices; ensure that all billing actions comply with company, local, state, and federal guidelines and regulations.
Additional responsibilities as assigned.
Requirements:
Required Skills/Abilities:
Detail – oriented; strong work organization skills, ability to work and problem solve independently.
Proficient in Microsoft Office – specifically MS Excel, Word, Outlook, Teams
Solid verbal and written communication skills.
High level of professionalism; ability to act with discretion and tact in all situations.
Ability to maintain organized electronic and paper records and produce reports in a timely and desirable manner.
Ability to manage numerous projects in a fast-paced environment.
Ability to be flexible and work more than 46 hours in one week per month or during peak periods.
Education and Experience:
Bachelor’s degree or equivalent in the study of Business; Finance, Statistics or Math, but Accounting preferred.
SmokeBall Case Management system experience a plus.
Minimum of at least two (2) to three (3) years of related legal or professional service billing experience required. More than three (3) years of experience is a plus.
Experience working with and using LawPay, Smokeball or other professional billing applications and banking applications are positive factors.
Physical Requirements:
Work from AAA space in downtown Chicago Firm HQ in small private office with desk, computer, storage, etc.

Salary is commensurate based upon relevant experience and qualifications
