Vicuna Flores Law is a dynamic law firm specializing in employment, personal injury, immigration, and criminal law. We are dedicated to providing personalized, high-quality legal representation to our clients, who are predominantly Spanish-speakers. We are currently seeking a detail-oriented Legal Assistant with exceptional communication skills and Spanish fluency (written and verbal) to join our team. This full-time role will require in-person attendance 4 days a week at our San Jose office, with one day of remote work.

Job Overview

The Legal Assistant will support our attorneys by performing a wide range of legal and administrative tasks. The ideal candidate is highly organized, has a strong grasp of legal terminology, and possesses knowledge in at least two of our practice areas (employment, personal injury, immigration, and/or criminal law). This role requires clear communication skills, proficiency in legal research, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Client Intake and Communication:

o Conduct intake calls of potential new clients in English and Spanish in the firm’s four practice areas (employment law, personal injury, immigration law, and criminal defense).

o Answer client inquiries, schedule appointments, update clients on case status, and maintain open and professional communication (in both English and Spanish).

o Preparing initial draft of demand letters and other client communications such as case closure letters.

Administrative Tasks, Including Billing and Timekeeping:

o Answer phone calls, manage email correspondence, perform general office duties, and provide support as needed.

o Assist with client billing by tracking time and preparing invoices accurately.

File and Calendar Management:

o Organize and maintain electronic case files, including documents, correspondence, and evidence. Be open to communicating with a wide variety of administrative agencies (Labor Commissioner, Civil Rights Department, DA’s Office) and opposing counsel to achieve case related goals.

o Manage attorney calendars by scheduling client meetings, depositions, court appearances, and important deadlines.

Legal Research and Trial Support:

o Conduct basic legal research using online databases, court websites, and legal resources to gather relevant case information.

o Prepare materials for trial such as exhibits, witness lists, and trial notebooks.

Additional duties may include:

· Communicating with clients via phone, email, and in-person interviews.

· Performing initial background research of potential new clients’ cases and briefing attorneys.

· Getting documents from courts throughout the Bay Area.

· Attending meetings alongside attorneys and taking accurate notes on proceedings.

· Organizing documents for court filing and record keeping.

· Maintaining client confidentiality and privacy at all times.

Required Skills and Qualifications

Spanish Fluency:

o Must be fluent in Spanish (both written and verbal) to effectively communicate with clients.

Legal Knowledge:

o Familiarity with at least 2 of the 4 areas of law that the firm practices.

Communication Skills:

o Excellent written and verbal communication abilities for clear interactions with clients and legal professionals, including court personnel and opposing counsel.

Organizational Skills:

o Strong attention to detail and the ability to manage multiple tasks and deadlines efficiently.

Computer Proficiency:

o Proficient with legal software, document management systems, Google Suite, Adobe, and Microsoft Office Suite.

Legal Terminology:

o An understanding of basic legal concepts and terminology with a strong desire to learn and grow.
