We are a small, busy law firm seeking a highly organized and dependable Legal Assistant/Office Coordinator to keep our attorneys organized and our office running smoothly.

Our firm consists of three attorneys with distinct practice areas:

  • Civil litigation, contract drafting, business formation and disputes, and estate planning;
  • Divorce, custody litigation, mediation, and guardian ad litem matters; and
  • Criminal defense and immigration law.

This is not a quiet, low-volume reception position. Our attorneys are frequently in court, meetings, or mediations, and there will be times when you are the only person managing the office. The right candidate must be comfortable working independently, determining what needs attention, and following tasks through to completion without constant supervision.

The work itself is learnable and becomes easier with experience. The challenge is the volume, the variety of matters, and the need to remain accurate while managing competing priorities. Success in this position requires organization, focus, sound judgment, and genuine pride in doing things correctly.

Primary Responsibilities

  • Answer incoming calls professionally and maintain thorough, accurate records of all communications;
  • Assist with new-client intake and open and organize new client files;
  • Download, label, organize, and accurately file incoming discovery and other case materials;
  • Maintain multiple attorney calendars, including hearings, deadlines, appointments, and filing dates;
  • Prepare routine legal filings, correspondence, and other documents using established templates;
  • Review discovery at an initial level to organize materials, identify potentially relevant information, and help attorneys focus their review;
  • Monitor incoming mail, scan and distribute documents, and save them to the correct client files;
  • Archive and close files when cases are completed;
  • Maintain organized electronic and physical filing systems;
  • Help ensure that client communications and time-sensitive matters reach the appropriate attorney promptly;
  • Keep common areas and workspaces orderly;
  • Water office plants; and
  • Make a monthly Costco trip to restock office snacks and supplies.

As with any small office, responsibilities may evolve based on the needs of the firm. Everyone occasionally handles tasks outside a formal job description.

What We Are Looking For

The successful candidate will:

  • Be exceptionally organized and attentive to detail;
  • Be reliable, punctual, and able to work full time;
  • Take ownership of tasks instead of waiting to be reminded;
  • Be able to prioritize competing demands and adjust when urgent matters arise;
  • Remain focused and accurate during busy periods;
  • Communicate professionally with clients, attorneys, court personnel, and opposing offices;
  • Keep thorough notes and understand that undocumented communications can create serious problems;
  • Handle confidential and sensitive information with discretion;
  • Be comfortable learning new systems, procedures, and legal terminology;
  • Recognize when to handle an issue independently and when attorney input is required;
  • Accept feedback and apply it going forward; and
  • Take pride in producing complete, accurate work.

Legal-office experience is preferred, but strong organizational ability, judgment, initiative, and follow-through are more important than already knowing every procedure. Training and templates will be provided, but the candidate must be willing to learn and able to retain and apply that training.

Compensation

The position pays $50,000-$65,000 annually, with the opportunity to earn quarterly bonuses based on firm collections.

This is a full-time, in-office position.
