Legal Assistant / File Manager Jobs in Livingston, NJ at Katz Elder Law

About Us

We are a growing boutique law firm concentrating in elder law, estate planning, probate, guardianship, and related litigation. We are seeking a full-time Legal Assistant / File Manager to work directly with the firm’s attorney.

This is not a traditional administrative legal assistant position. While the role includes file management and client communication, a substantial portion of the job involves drafting legal documents, correspondence, and client emails under the attorney’s supervision.

We are looking for an exceptional writer who is highly organized, professional, dependable, and eager to learn. Prior legal experience is not required. We are happy to train the right candidate.

What You’ll Do

Your responsibilities will include:

  • Draft legal documents, pleadings, estate planning documents, client correspondence, and professional emails.
  • Proofread and edit documents for grammar, clarity, consistency, and accuracy.
  • Maintain the firm’s master matter list and help ensure active matters continue moving forward.
  • Lead a brief daily team meeting to review priorities, outstanding tasks, and upcoming deadlines.
  • Track the status of client matters and follow up on outstanding items with clients, courts, government agencies, financial institutions, and third parties.
  • Organize and maintain electronic and physical client files.
  • Prepare document packages for client review, signature, mailing, and court filing.
  • Coordinate scheduling and client communications.
  • Process incoming and outgoing mail.
  • Make occasional local trips to the post office, county offices, courts, banks, and other locations to file, deliver, or obtain documents.
  • Assist with general office operations and administrative tasks as needed.

Who We’re Looking For

The ideal candidate is someone who:

  • Enjoys writing and takes pride in producing polished, professional work.
  • Is exceptionally organized and detail-oriented.
  • Is dependable and follows through on commitments.
  • Is comfortable managing multiple priorities without losing track of details.
  • Communicates professionally with clients and colleagues.
  • Is comfortable learning new software and procedures.
  • Takes ownership of assigned responsibilities and follows up without being reminded.

Qualifications

  • Bachelor’s degree required.
  • English, History, Political Science, Journalism, Philosophy, Communications, or another writing-intensive major strongly preferred.
  • Outstanding writing, grammar, proofreading, and communication skills.
  • Strong organizational and time management skills.
  • Excellent customer service and interpersonal skills.
  • Proficiency with Microsoft Office and general computer applications.
  • Valid driver’s license and reliable transportation.
  • Prior legal experience is not required.

Work Environment

This position is primarily in person because collaboration and training are an important part of the role. Limited remote work may be available after training and based on business needs.

Our office currently operates with one attorney supported by remote administrative staff. You will play a central role in coordinating daily work, maintaining organization across active matters, and helping ensure clients receive outstanding service.

Compensation & Benefits

  • Salary of $50,000-$60,000 depending on experience.
  • Generous paid time off.
