Base pay range
$20.00/hr – $25.00/hr
The Legal Assistant plays a critical role in supporting attorneys and staff by handling administrative tasks, client interactions, document management, and scheduling. This position is ideal for a detail-oriented, organized, and proactive professional who thrives in a fast-paced legal environment and is passionate about delivering an exceptional client experience.
Responsibilities:
Client Interaction
& Reception
Serve as the first point of contact for clients and visitors, managing phone calls, inquiries, and in-person greetings with professionalism.
Provide exceptional client service, ensuring each client feels welcomed, heard, and supported.
Maintain confidentiality and professionalism in all interactions.
Scheduling & Coordination
Schedule client meetings and calls for existing cases.
Arrange intake calls with the Client Coordinator for potential new clients.
Maintain and update attorney calendars and deadlines.
Document & Correspondence Management
Receive, scan, organize, and file legal documents, correspondence, and court filings.
Ensure all documents are properly stored and easily retrievable in the document management system.
Prepare and send hard copy correspondence to clients, courts, and third parties.
Manage incoming and outgoing mail services as needed.
Administrative & Office Support
Assist attorneys and staff with case management and administrative tasks to ensure smooth office operations.
Keep records accurate and up-to-date, tracking tasks and case progress.
Maintain the firm’s professional image, keeping work spaces organized and supporting office-wide efficiency.
Professionalism
Support efforts to promote the firm’s services and maintain strong client relationships.
Enhance client interactions with excellent communication and customer service skills.
Qualifications & Experience Required:
At least 2 years of administrative experience, preferably in a legal or professional office setting.
At least 2 years of customer service/administrative phone experience.
High School Diploma or equivalent.
Tech-savvy—comfortable using Google Docs, Google Drive, and other administrative software.
Strong organizational skills—able to manage multiple tasks and prioritize effectively.
Detail-oriented, ensuring accuracy and consistency in all work.
Reliable and prompt, always showing up prepared and meeting deadlines.
Excellent communication and interpersonal skills, with a client-focused mindset.
A growth-oriented mindset and a willingness to adapt to new processes and technology.
Preferred:
Previous experience in a legal setting is a plus.
Experience handling confidential information with discretion.
