Position Summary
The Psychiatry Assistant will be primarily responsible for the support of the psychiatry staff of the
Outpatient Mental Health Clinic. This includes coordinating and implementing telehealth sessions for
program psychiatrist, organizing and maintaining the relevant sections of psychiatry in the client
electronic health records, medical correspondence, physician schedules, scheduling all initial evaluations
and other administrative support functions for the entire OMHC are also responsibilities of this position.

Essential Duties and Responsibilities
Process and schedule all psychiatry referrals, answer parent and clinician inquiries regarding
referral status, and utilize agency databases to complete job functions.
Ensure that patient electronic record information is obtained and filed before extending
psychiatric services.
Provide reminder phone calls and emails for up-coming psychiatry appointments
Troubleshoot with families accessibility to virtual appointments.
Maintain positive relationships and patient confidentiality.
Maintain consistent communication with staff in regards to appointments, via phone, fax, and
email.
Correspond with labs, pharmacies, and physicians.
Assure that written and verbal communication regarding patients is within compliance.
Complete and mail appropriate warning and discharge documentation.
Adhere to HIPPA and PHI regulations.
Maintain necessary trainings.
Cross train for other duties within the department
Run monthly idle charts reports
All other duties as assigned

Knowledge, Skills, & Abilities
Healthcare Administration Knowledge: Understanding of medical terminology, psychiatric
services, and healthcare administrative procedures including HIPAA/PHI regulations
Technical Proficiency: Skill in using electronic health record systems, telehealth platforms,
Microsoft Office, and agency databases with troubleshooting capabilities
Schedule Management: Ability to efficiently process referrals, coordinate appointments, and
maintain organized scheduling systems
Communication Excellence: Strong written and verbal communication skills for interacting
professionally with patients, families, staff, and external healthcare partners
Documentation Management: Skill in maintaining accurate patient records, running reports, and
ensuring all documentation meets compliance standards
Patient Confidentiality: Ability to handle sensitive information with strict adherence to privacy
regulations and ethical standards
Problem-Solving: Ability to troubleshoot technical issues, resolve scheduling conflicts, and find
solutions to administrative challenges

Schedule all psychiatry referrals promptly and accurately
Conduct appointment reminder calls/emails with 100% completion rate
Maintain low no-show rates through effective communication
Assist patients with telehealth platform access and troubleshooting
Monitor and manage appointment waitlists effectively

Key Result Area #2: Medical Records Management
Ensure 100% of patient electronic records are complete before services
Maintain accurate and up-to-date psychiatry records
Process idle charts reports monthly with complete accuracy
Ensure all documentation meets compliance standards

Key Result Area #3: Communication & Coordination
Maintain timely communication with clinical staff regarding appointments
Respond to parent/clinician inquiries within 24 hours
Coordinate effectively with external stakeholders (labs, pharmacies, physicians)
Ensure all written and verbal patient communications maintain confidentiality

Key Result Area #4: Compliance & Quality Assurance
Adhere to all HIPAA and PHI regulations with zero violations
Complete all required trainings on schedule
Process warning and discharge documentation accurately and timely
Maintain detailed records of all communications for audit purposes

Support overall OMHC administrative functions as needed
Successfully cross-train in other departmental duties
Adapt to changing priorities and workload demands
Contribute to department efficiency improvements

Education and/or Experience Qualifications
Must possess a High School Diploma.
A minimum of 2 years of experience working in an administrative capacity for an outpatient
mental health center or social service non-profit organization.
