Our client, a prestigious law firm based in Stamford, CT, is seeking a Litigation Secretary for their office!
Key Responsibilities
Coordination & Operational Support
Provide administrative and operational support to assigned lawyers in the Privacy & Cybersecurity team.
Align lawyers’ time with key priorities using strategic scheduling and planning.
Build and maintain relationships with key stakeholders and partners.
Increase productivity by anticipating needs, executing tasks, and delegating responsibilities.
Assist with additional business operations as needed.
Communications & Calendar Management
Develop systems and processes for improved organization and workflow.
Manage relationships with high-profile clients in Healthcare, FDA, and Food, Drug & Medical Device practice areas.
Maintain and monitor Outlook inboxes, prioritizing and responding to communications as needed.
Screen, delegate, and handle all incoming communications (phone, email, video calls).
Provide complex scheduling and calendar support for assigned lawyers.
Prepare briefing materials, agendas, presentations, and itineraries for meetings and commitments.
Ensure accuracy and completeness of all materials.
Accounting & Billing
Coordinate with Accounting for client billing, reporting, and budget tracking.
Process new business forms, client/matter reports, and conflict checks.
Oversee time entry, proformas, and billing for assigned lawyers.
Monitor practice area expenditures and maintain billing records.
Prepare and maintain financial reports and client billing arrangements.
Travel Arrangements
Arrange domestic and international travel, including flights, hotels, transfers, and visas.
Manage last-minute travel changes proactively and efficiently.
