Working Conditions: Fully in-office position, normal office environment with occasional travel to local and statewide locations for client-related matters.
Primary Purpose Of Position
The Legal Administrative Assistant provides essential administrative support to attorneys, ensuring smooth operations and maintaining positive client relations while observing strict confidentiality.
Essential Functions And Responsibilities
Prepare and edit complex legal documents, correspondence, and memoranda.
Transcribe legal dictation and compose routine legal correspondence.
Manage legal documents with courts and agencies, including filing and processing.
Organize and maintain attorney case files, logs, and other documentation.
Communicate with clients, answer questions, and ensure proper follow-through on legal matters.
Answer phone calls, providing information and directing inquiries appropriately.
Maintain attorney calendars, schedule meetings, court dates, and appointments.
Organize and gather client information, including medical, insurance, and financial records.
Review, sort, and scan incoming mail; ensure timely document deliveries.
Manage billing, time entries, conflict checks, and client file maintenance.
Support trial preparation, exhibit organization, and electronic filing via court systems.
Assist with legal research, drafting complaints, motions, and other documents.
Collaborate with Legal Assistants, Paralegals, and Firm administration for comprehensive support.
May assist with marketing, client development, and notary duties.
Position Specifications
Knowledge & Skills:
High school diploma and 4-6 years of related administrative experience in a law firm.
Proficient in MS Word, Excel, Outlook, and document management systems (iManage or similar).
Strong organizational and multitasking abilities in a fast-paced, deadline-driven environment.
Must have high attention to detail, excellent proofreading skills, and the ability to handle complex documents.
Keyboarding speed of 70 words per minute or higher.
Strong interpersonal skills for client and team communication.
Knowledge of legal principles, office equipment, and standard administrative practices.
Ability to prioritize tasks and work with frequent interruptions.
