Position Overview:

The Automotive Title Administrator is responsible for managing and processing vehicle titles, registrations, and related documentation accurately and efficiently. This role ensures compliance with local, state, and federal regulations, facilitates smooth title transfers, and supports the dealership’s vehicle sales and customer service operations. The ideal candidate will have a strong attention to detail, excellent organizational skills, and experience with automotive title processing and related tasks.

Key Responsibilities:

The Title Administrator has the following responsibilities:

Process vehicle titles and registrations accurately and in a timely manner, including incoming vehicles, trade-ins, and vehicles sold to customers.
Complete all necessary documentation for vehicle purchases, sales, and transfers, including title applications, lien releases, and other legal documents.
Ensure all vehicle titles and related documentation are properly recorded and filed in accordance with legal and company requirements.
Submit title and registration documents to state and local agencies, ensuring compliance with all regulations.
Verify that all title documents, such as certificates of origin and title transfer paperwork, are complete and meet state and federal requirements.
Work with the Department of Motor Vehicles (DMV) and other regulatory agencies to resolve any title issues or discrepancies.
Maintain up-to-date knowledge of state and local title regulations and laws to ensure compliance with all necessary processes.
Handle title discrepancies, including lost or damaged titles, by working with the appropriate agencies to resolve issues promptly.
Maintain organized, accurate, and up-to-date records of all vehicle titles, registrations, and related documents.
Assist in preparing and submitting reports related to title transactions, vehicle inventory, and other necessary documentation.
Ensure that all title files are stored securely and in compliance with company policies and legal requirements.
Work closely with the sales, finance, and service departments to ensure the smooth flow of title documentation and paperwork for vehicle transactions.
Assist in coordinating the preparation and submission of title documents for out-of-state transactions and dealer trades.
Help ensure that vehicles are properly titled and registered before delivery to customers.
Use title management software to track and update vehicle titles, registrations, and other relevant information.
Ensure the accuracy of vehicle inventory records, including VIN numbers, vehicle descriptions, and title information.
Maintain up-to-date knowledge of the dealership’s title management system and ensure its optimal use.

Requirements:

The Title Administrator should have the following skills, education and experience:

High school diploma or equivalent (Associate’s degree in Business, Automotive Management, or related field preferred).
Proven experience in automotive title administration or related fields.
In-depth knowledge of vehicle title and registration processes, state and federal regulations.
Strong attention to detail and organizational skills.
Excellent communication and interpersonal skills.
Ability to handle multiple tasks and work efficiently in a fast-paced environment.
Proficient in using title processing software, automotive inventory systems, and Microsoft Office Suite (Excel, Word, etc.).
Strong problem-solving skills and ability to resolve title issues efficiently.
Ability to maintain confidentiality and handle sensitive documents.
