Key Responsibilities
- Manage complex, high-volume calendars across multiple time zones
- Coordinate meetings, calls, and client interactions with precision
- Act as a primary point of contact for clients, ensuring a seamless experience
- Triage and prioritize incoming emails and communications for attorneys
- Oversee client onboarding, including conflicts checks, engagement letters, and database updates
- Own billing processes, including proformas, invoicing, and budget tracking
- Coordinate travel arrangements, expense reports, and vendor payments
- Draft, format, and edit a variety of legal documents with accuracy
- Support meetings, video conferences, and client events
- Maintain organized client and matter files while ensuring compliance standards
- Partner cross-functionally to support team needs and provide overflow assistance
- Handle all responsibilities with the highest level of confidentiality and professionalism
Required Qualifications
- 4+ years of relevant legal support experience
- Proven experience supporting multiple senior professionals, ideally attorneys
- Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Strong organizational, multitasking, and communication skills
- Demonstrated experience managing calendars, billing, and client coordination
- Exceptional attention to detail with the ability to deliver highly accurate work
- Professional, polished, and articulate presence
Preferred Qualifications
- Experience in a large law firm environment
- Background in corporate/transactional work (M&A experience strongly preferred)
- Familiarity with electronic billing systems and budget tracking
- Bachelor’s degree
