Purpose of the Role
Providing day-to-day support across the business on various legal, insurance, procurement and administrative matters
Person Specification
Technical Skills
Previous experience in a similar position and proven track record of ability to manage own workload is desirable but not essential.
Personable and confident, able to build relationships with directors/ key stakeholders.
Resilient and calm under pressure.
Adaptable and flexible approach.
Pro-active and takes initiative.
Excellent organisational skills and ability to prioritise work to deadlines.
Excellent attention to detail.
Effective oral and written communication.
Good IT skills: thorough working knowledge of Microsoft Word, Excel and Microsoft Teams.
Experience of the infrastructure sector is advantageous.
Previous experience of insurance and/or procurement is advantageous.
Qualifications
Law Degree / LPC / CiLEX or similar.
Legal Secretaries may be considered depending on experienc
Key Responsibilities
Address the legal needs of the business across a spectrum of legal areas including corporate, commercial, procurement, insurance, construction and compliance.
Assisting with negotiating terms and conditions with suppliers and drafting amendments.
Carrying out administrative tasks related to insurance activities including collating information from various divisions relating to insurance claims.
Approving invoices.
Arranging for signature of contracts.
Taking minutes of meetings.
Managing and administering the HQ supplier onboarding process.
Carrying out compliance searches and collating information and documentation for various compliance activities.
Maintaining an up-to-date filing system for various documentation including contracts, supplier information, insurance claims correspondence, insurance certificates, policies and procedures, compliance documentation, board minutes, board approval documents, company registers.
Assisting with auditing requirements including gathering information to answer audit queries.
Assisting with company secretarial matters.
Proofreading and updating documents and using initiative to flag queries.
Photocopying and scanning.
Preparation of legal documents as required.
Assisting with drafting of letters and other basic documentation.
Undertaking legal research tasks.
