Job Summary
The Legal Assistant provides comprehensive administrative support to attorneys within a legal team, ensuring efficient workflow and high-quality client service. This position is responsible for document preparation, case file management, calendaring deadlines, and coordinating internal tasks among departments. The Legal Assistant plays a vital role in maintaining case progress, supporting legal procedures, and upholding confidentiality in a hybrid work environment.
Key Responsibilities
• Delegate legal and administrative tasks to appropriate internal departments
• Prepare legal documents, including practice-specific forms and court filings, both paper and electronic (e-filings)
• Update and maintain electronic and physical case files, including correspondence, pleadings, and closing folders
• Screen incoming telephone calls, take messages, and maintain professional communication with clients and visitors
• Sort and date incoming mail; manage timely delivery of outgoing correspondence with appropriate delivery methods
• Schedule meetings, hearings, and deadlines for attorneys using internal calendaring systems
• Update court dockets and case statuses in calendaring software
• Assist other legal assistants and attorneys as needed across the practice team
• Review pro forma billing reports and make electronic updates upon request
• Open new case files, perform conflict of interest checks, and prepare files for closure or storage review
Minimum Education & Experience Requirements
• High school diploma or equivalent required
• 5–7 years of legal administrative experience in a law firm or similar professional services setting
Special Requirements
• None required beyond experience and proficiencies listed
Knowledge, Skills, and Abilities
• Strong spelling, grammar, and proofreading skills
• Typing proficiency of 45+ words per minute
• Intermediate Microsoft Word skills; ability to format and edit legal documents
• Understanding of court filing procedures, including electronic filing
• Strong organizational and time management abilities
• Effective delegation and multitasking skills
• Excellent interpersonal communication and discretion with confidential information
• Self-starter with the ability to manage multiple assignments and meet deadlines
Additional Desired Characteristics
• Familiarity with MS Excel and document management systems (e.g., iManage 10 or FileSite)
• Experience using Intapp Flow for workflow management
• Knowledge of Chrome River expense reporting
• Proficiency with PDF conversion, editing, and file manipulation tools
Work Environment
• Hybrid work environment with a combination of onsite and remote duties
• Minimal travel expected
• Professional office setting with collaborative team structure
