Position Overview
We are seeking a highly organized, proactive Legal Operations Coordinator to support our attorneys and team members by managing the day-to-day operations of the office. This role is ideal for someone who thrives on structure, takes pride in creating order, and enjoys working in a fast-paced legal environment. You’ll be the backbone of our administrative processes — from handling mail and documents to tracking expenses and supporting client intake.
Key Responsibilities
Office Management
Handle office equipment, supplies, vendor relationships, and communications with building management
Maintain a clean, stocked, and professional environment (kitchen, reception, conference rooms)
Manage offsite file storage and coordinate with records vendors
Documents & Systems
Scan and organize incoming mail, documents, and checks; maintain digital and paper filing systems
Prepare and send all mail (FedEx, certified, and standard); distribute legal updates and articles
Assist with marketing communications and newsletters
Manage court system logins (Pacer, CaseNet) and keep internal contact lists updated
Expenses & Billing
Enter and reconcile firm and case-related expenses in MyCase (credit card and bank statements)
Prepare and send checks
Assist with the preparation and distribution of client invoices
Client & Team Support
Draft and send engagement agreements using DocuSign
Answer phones, return calls to leads, conduct initial client screening, and send declination notices
Sign up attorneys for CLEs, confirm compliance
Assist with travel booking
Help schedule meetings, reserve conference rooms, and coordinate internal events
Qualifications
Previous experience in legal administration, office coordination, or a similar role
Familiarity with legal procedures and terms is a plus
Experience with MyCase or comparable case management software preferred
Strong attention to detail and organizational skills
Professional, friendly communication style (written and verbal)
Tech-savvy and comfortable managing systems and logins
Self-starter with a service-oriented mindset
