Starting Salary Range: $63,600 – $79,500
Reporting to the General Counsel, the Legal Assistant provides comprehensive operational support to the Legal and Governance team, ensuring the efficient management of legal files, departmental processes, and governance‑related activities. This role is responsible for a wide range of legal functions including coordinating legal service intake; preparing various legal documents; managing schedules, correspondence and filing; processing invoices for external services; and maintaining compliance with internal policies, regulatory requirements, and best practices for legal department operations.
The Legal Assistant also supports governance activities and physician leadership committees by coordinating meetings, distributing materials, and processing honoraria and sessional claims, while maintaining regular communication with internal staff and physician members. In addition, the role assists with Digital Health and Privacy administration by monitoring intake requests, triaging inquiries, and supporting the Privacy team with confidential communications related to privacy questions and complaints.
Drawing on prior law firm or legal department experience, the Legal Assistant plays a key role in strengthening the operational infrastructure of the in‑house legal function. The position contributes to the development and continuous improvement of legal file management systems, retention protocols, template databases, and workflow processes to support efficient and compliant legal operations. Within a high‑paced environment where accuracy and discretion are paramount, the Legal Assistant prepares draft documents and correspondence for lawyer review, monitors shared confidential legal, governance and privacy email accounts, and exercises discretion and sound judgment in triaging requests and determining appropriate responses.
As a frequent first point of contact for staff and physician members, the Legal Assistant demonstrates strong political awareness, professionalism, and exceptional client service while upholding the highest ethical standards and clearly communicating the role of the teams the position supports.
What You Bring
- A specialized post‑secondary diploma or an undergraduate degree in a related field, with at least five years of related experience.
- Law firm or in‑house legal department experience with responsibility for confidential file management related tasks.
- Adept at balancing concurrent tasks and projects and working with internal and external parties in a coordinated manner.
- Organized, resourceful and efficient with an outstanding attention to detail, particularly in matters related to internal and external communications.
- Excellent interpersonal, written, and verbal communication skills and the ability to represent the team and department with a high level of professionalism, clearly and concisely.
- Proven ability to respond to a wide variety of issues and deal with ambiguity and conflicting demands.
- Demonstrated proficiency with common office software, particularly Word, Excel, and Outlook. Experience with workflow or project management software is an asset.
