The Legal Assistant supports the Director of Transactions by handling administrative tasks, coordinating with departments, and ensuring smooth legal and transaction processes. Essential Responsibilities include: Legal & Compliance – handling entity formations, annual filings, maintaining entity management database, reviewing entity-related invoices and SOP notices, maintaining a centralized tracking tool for lawsuits, claims, and settlements, processing license and permit applications for new acquisitions and renewals, and maintaining tracking tools per property. Contract Management – assisting with contract administration, tracking, and compliance, reviewing and summarizing vendor service contracts, processing contract assumptions for new acquisitions, reviewing and creating abstracts for retail leases, assisting with lease administration and tracking, and assisting with ancillary income contracts and tracking. Administrative Support – preparing and editing correspondence, reports, and legal documents, maintaining and organizing files, supporting investments department with due diligence, lender reporting/compliance, or other tasks as needed. Transaction Support – assisting in the review and preparation of purchase contracts, amendments, notices, and other transaction-related legal documents, coordinating with acquisitions and operations teams to gather and organize feedback, collecting signatures and delivering documents as required in the Purchase and Sale Agreement (PSA). Knowledge, Experience, Educational Requirements: 2-5 years of experience as a real estate or multi-family property management legal assistant required, knowledge of corporate and real estate law preferred, experience with real estate transaction closings preferred, notary designation preferred, paralegal certification a plus, must be detail oriented and able to communicate effectively at all levels of the organization, must possess good analytical, oral, and written communication skills and coordinate many simultaneous activities.
