About the Position

We are hiring a Legal Assistant to support our estate planning team with client communication, matter tracking, scheduling coordination, and legal production support. This is an essential role on our team, working closely with paralegals and attorneys to help keep client matters moving smoothly, accurately, and professionally.

Key Responsibilities

  • Serve as the lead client-communication support for assigned Seattle estate planning matters under attorney and paralegal direction
  • Track client questions, missing information, deadlines, scheduling needs, and next steps in firm systems
  • Help clients complete forms and information requests at the process level, while escalating legal questions to the paralegal or attorney
  • Support scheduling for consult follow-up, signing readiness, review meetings, and assigned matter deadlines
  • Prepare, proof, assemble, and quality-check routine legal production materials under paralegal or attorney supervision
  • Support post-consult follow-up, including reminders, process questions, scheduling, and next-step communication
  • Maintain accurate matter notes, reminders, task statuses, and communication logs in Lawmatics or other firm systems
  • Assist with mailings, notices, document packets, scanning, filing, and other estate planning production support as assigned
  • Coordinate with attorneys, paralegals, clients, fiduciaries, advisors, and internal staff to keep assigned matters moving forward
  • Protect the boundary between legal support and legal advice by escalating substantive questions to the appropriate attorney or paralegal

Qualifications

  • 2+ years of experience working in a law firm as a legal assistant, legal administrative assistant, or comparable legal support professional
  • Preferred experience with estate planning, probate, or trust administration
  • Bachelor’s degree preferred
  • Strong written and phone communication with clients in emotionally or administratively complex situations
  • Ability to track many small details without losing deadlines, next steps, or ownership
  • Comfort working with attorneys, paralegals, clients, fiduciaries, advisors, and internal staff
  • Strong proofreading, document assembly, scheduling, and follow-up skills
  • Technology fluency with Microsoft products and other software, with a willingness to learn our CRM, document systems, and firm workflows
  • Experience with legal software preferred, especially Lawmatics, Wealth Counsel, or related systems
  • Ability to distinguish process and logistics questions from legal questions that require attorney or paralegal review
  • Experience supporting document execution, signing logistics, client intake forms, matter follow-up, or related processes
  • Notary commission, or willingness to obtain one
  • Authorized to work in the United States; background check may be required
  • Primarily based at our Seattle office, with the ability to travel to our Bellevue office based on firm needs
