Legal Assistant (Construction)

Our valued client is seeking a Construction Litigation Legal Assistant in Raleigh to support a group of attorneys within the Litigation practice group through the performance of complex secretarial, administrative, and substantive legal duties under the supervision and direction of the attorneys.

Job Description

Leverage technology resources to ensure the group of attorneys is operating as efficiently and effectively as possible.

Identify most efficient and effective manner to complete tasks.

Create, format, edit and proofread Word documents and Excel spreadsheets, including forms for filing liens and other routine filings

Formatting briefs, pleadings, correspondences, and other legal documents

Prepare shells for attorneys in preparation for all motions, discovery, and trial documents

Prepare notebooks, exhibits, and other documentation as assigned

File legal documents with state and federal courts (e-filing knowledge is a must)

Prepare and edit AIA contracts and custom contracts

Performs a variety of administrative functions such as conflict checks, opening new matters, closing matters, preparing engagement letters, creating and filing expense reports, entering attorney time, preparing travel arrangements, and assisting with business development and firm projects

Organize, update, and maintain paper and electronic client files

Prepare and maintain pleading indexes within the document management system

Maintain attorney(s) calendars and emails through Outlook (i.e., scheduling appointments, calendaring); maintain calendar for trial and discovery deadlines

Manage and organize client contact lists in Outlook and the Marketing database; assist in supporting business development needs

Coordinate and schedule meetings, conference calls, Zoom calls and depositions

Regular and predictable attendance is an essential function of the job. Flexibility to work overtime during the week and weekends, as needed

Qualifications And Skills Required

At least 5 years secretarial experience in a law firm environment is preferred, including experience with e-filing in federal or state courts.

2 years of experience working on construction matters is required.

Strong knowledge of and ability to apply office software applications including Word, Excel, PowerPoint, Outlook and PDF.

Experience with Worksite/Filesite document management system is preferred.

Working knowledge of legal practices, terminology, documents and court procedures.

Working knowledge of the firm’s support tools.

Ability to interact and communicate effectively in a business environment.

Flexible, solutions-oriented approach and the ability to work under pressure and handle multiple priorities from multiple sources.

Excellent typing, spelling, grammar, proofreading, transcription and general clerical skills.

Ability to coordinate work activities; prepare legal correspondence and documents; organize and maintain files and records.

Ability to operate standard office equipment, including personal computer, copier, multi-function printers, facsimile, and telephone.

A minimum of a high school diploma or GED is required. An associate degree, certificate or related education is preferred. Significant prior experience may be substituted for a combination of the educational requirements.
