We are seeking a reliable and passionate Legal and Intake Administrator to join our dynamic team and provide high-calibre service both internally and to our clients.
Main Duties and Responsibilities
Handle website and social media leads, make outbound calls, and support our call answering service.
Prepare and send follow-up emails to clients.
Arrange consultations, liaise with lawyers and process client payments.
Maintain a high level of client satisfaction through effective communication.
Manage new client workflow throughout the firm and initiate follow-up actions promptly to meet deadlines.
Process new files or make changes to existing files.
Perform searches for both individual and business inquiries.
Manage mail processing and distribution tasks.
Create, maintain, and close files using Sultan Lawyers’ electronic filing systems.
File and manage electronic documentation utilizing Sultan Lawyers’ database software and filing systems.
Maintain and monitor calendars, including scheduling client appointments.
Occasionally assist the marketing team with tasks such as award submissions, content creation, and social media posting.
Provide administrative support during staff vacations and absences, including tasks such as billing and client payment follow-ups.
Provide general support and perform additional duties as required.
Qualifications and Skills
Minimum 2 years of office or related experience
Post-secondary education in legal administration, business administration, or a related field preferred
Strong client service focus and interpersonal skills
Excellent verbal and written communication skills in English
Ability to organize, multitask, and work under pressure in a fast-paced environment
Strong attention to detail
Technical competency in Microsoft Office suite and Adobe software
Knowledge of legal practice management software (e.g., Clio) is an asset
