Overview:
The Legal Intake Specialist (LIS) is a non-attorney who handles the client intake. The primary functions are to pre-qualify and screen leads, and help successfully on-board the new client for the legal team.
This is a Non-Exempt position.
Reporting Relationship:
The (LIS) reports to the Owner
Authority:
The (LIS) may work with a designated staff or the receptionist to scheduling prospective new clients for initial consultations but is responsible for making reminder calls or sending reminder messages to assure appearance. The (LIS) has no supervisory or other authority beyond that specifically delegated by the Owner.
Additionally, non-attorney support staff are prohibited from practicing law by the ABA’s Rules of Professional Conduct and State Bar Association rules. All client-focused work done by the (LIS) must be in support of and under the supervision of an attorney. In dealing with clients and potential clients, the (LIS) must be careful not to inadvertently slip into the unlawful practice of law. This would include answering client questions about what will happen in their case or recommending that a client undertake a certain course of legal action during their case.
In accordance with Bar rules, the (LIS) does not give legal advice, approve client engagements, or share fees with the Firm.
Responsibilities:
1. The ultimate outcome/output of the Intake Specialist is booking initial consultations (sales calls) and initiating the pre-engagement and post-engagement glidepath to boost sales.
2. Intake screens out unqualified leads through a series of questions designed to speak to the ideal client, target the correct legal issues, and gauge urgency/motivation.
3. When Intake schedules a qualified lead for an initial consultation (sales call), they are responsible for initiating the pre-engagement glidepath to create/foster a sense of urgency about engaging the Firm and improving the “show up rate” for people showing up for initial consultations.
4. Intake should also be sure everyone who contacts the Firm for help is better off for their effort. This may take the form of a referral to an appropriate firm or professional contact, sharing free resources produced by the firm, or some other assistance.
5. Intake is responsible for updating the Firm’s databases, and reports to track incoming calls, leads qualified, consultations scheduled, and other key metrics.
The intake person is a “solutions specialist.”
1. After the Prospective New Clients (PNCs) have been qualified and screened by (LIS), the (LIS) will schedule the (PNC) for a consultation for the purpose of selling legal services. Prior to this meeting the (LIS) will:
a. Collect information about the PNCs and the matters for which they are seeking the Firm’s help.
b. Assure the PNCs that the Firm’s attorneys and staff will be able to help them.
c. Show compassion for their troubles.
d. Provide a general description of the Firm’s services in the area that the PNC needs help.
e. Send informational materials.
f. Collect a $50.00 deposit to reserve a place on the salesperson’s calendar and schedule the appointment.
2. In accord with the ethical rules governing lawyers, the (LIS) will not provide legal advice, quote a fee or enter into an engagement with a client without prior permission from the owner. The (LIS) may prepare prospective clients for entering into an engagement with the Owner or other designated attorney by obtaining the client’s signature and then receiving an attorney’s approval.
3. The (LIS) will calendar consultations and email the appropriate parties within the Firm at the time the consultation is calendared.
4. The (LIS) will keep detailed records in the CRM software and report at the weekly sales meeting the number of PNCs scheduled for initial consultation that appeared for initial consultations, the number that actually engaged, and other associated metrics (referral source, average case value, etc.).
1. The (LIS) will stay in contact with Leads who do not schedule consultations, PNCs who do not appear for their consult, and PNCs that do not sign up after their initial consultation.
2. The (LIS) will actively engage in dialogue with management regarding the quality and volume of the leads, offering constructive feedback and suggestions for improvement based on “front lines” experience.
Education & Experience
· 2 years of experience in sales of products or services, luxury or high-end products and services are preferred. Proven track record using a consultative sales approach is required or work in a law firm.
· Education and/or work experience equivalent to a Bachelor’s Degree.
· A strong interest for consultative solutions selling.
· Experience with a CRM, particularly reporting, required.
· Knowledge of the legal industry is an asset.
· Real life experience & a few “battle scars” to give you empathy and understanding is an asset. Experience overcoming a major obstacle in life and making an important change in your life, so you know at your core that others can do it too, is a plus.
