Job Summary
The Light Oils Marketing (LOM) Customer Contracts and Master Data Analyst/Administrator is responsible for supporting the execution and administration of customer contracts, maintaining accurate master data in SAP, and ensuring compliance with company policies and regulatory requirements. This role plays a crucial part in contract processing, data accuracy, system updates, and communication with internal teams such as Sales, Finance, Legal, and Terminal Operations. The Analyst/Administrator also assists in process improvements and troubleshooting issues related to contract execution and customer data management.
Minimum Qualifications
Proficient in Excel, Word, Outlook, SAP or other ERP systems for contract and master data management preferred
Experience with contract lifecycle management (CLM) systems is a plus.
Excellent attention to detail and ability to manage large volumes of contract and customer data.
Strong problem-solving and analytical skills.
Effective communication and collaboration skills for working with cross-functional teams.
Ability to prioritize and manage multiple tasks in a fast-paced environment.
The minimum number of years of job related experience required by this job is: 0 years of experience required with a Bachelor’s degree; 2+ years of experience in contract administration, master data management, or a related field. preferred. If no degree, 5 years of experience required
Job Duties
Contract Management & Administration
Assist in drafting, processing, and maintaining customer contracts, including Branded, Unbranded, Commercial, Aviation, Bulk, and Petrochemical agreements.
Ensure contracts are compliant with standard, approved contract templates.
Support the contract lifecycle process, including execution, renewals, amendments, and terminations.
Maintain a centralized repository of executed contracts and related documentation.
Communicate with internal departments and customers regarding contract setup, modifications, and requirements.
Customer Master Data Management
Enter and maintain accurate customer master data in SAP and other enterprise systems, ensuring proper setup for billing and product access.
Validate and update key data points such as customer profiles, contract terms, and product access permissions.
Monitor and correct data discrepancies to ensure accurate invoicing and seamless transactions.
Assist in managing third-party customer portals and processing customer setups in external systems.
Job Duties II
Issue Resolution & Cross-Departmental Support
Troubleshoot contract and master data issues, working with Sales, Billing, Credit, Legal, and Terminal Operations to identify and implement solutions.
Investigate and resolve billing errors, contract discrepancies, and product access issues to prevent revenue loss and operational inefficiencies.
Provide support to internal teams and external customers on contract and data-related inquiries.
Process Improvement & Compliance Support
Assist in streamlining contract and data management processes to improve efficiency and accuracy.
Help develop and document standard operating procedures related to contract execution and master data management.
Ensure compliance with legal and company policies, minimizing risks related to contract execution and customer data handling.
Monitor reports on contract status, data accuracy, and key performance indicators (KPIs) to ensure timely and accurate processing, and to support decision-making.
Maintain detailed records of customer contracts, data updates, and issue resolutions for audit and compliance purposes.
