A regional law firm is seeking a Docket Administrator to assist in maintaining the firm’s master litigation calendar, ensuring accurate calculation, recording, and communication of litigation deadlines. This remote-friendly position is not assigned to a specific office, though the ideal candidate would reside near one of the firm’s East Coast offices (Pittsburgh, PA; Philadelphia, PA; Harrisburg, PA; Princeton, NJ; or Miami, FL) and be available for occasional in-office training and equipment retrieval.
Key Responsibilities:
Utilize CompuLaw’s Vision SQL or other docketing software to manage case deadlines.
Review and interpret court orders, pleadings, correspondence, and other legal documents to determine relevant deadlines.
Conduct court rule research using state and federal court websites and administrative agency resources.
Enter and maintain accurate calendar entries in the firm’s docketing system.
Generate and distribute weekly docket reports and reminders to attorneys and staff.
Act as a resource for attorneys and staff regarding court rules and date calculations.
Communicate with the Docket Manager regarding docketing issues and court rule updates.
Ensure attorneys and staff are notified of deadlines, tracking met deadlines and completed events.
Maintain database accuracy for timekeeper and client/matter information.
Review and analyze reports for accuracy, ensuring compliance with local rules and code sections.
Respond to inquiries regarding court rules, deadlines, and docketing system information.
Provide backup support to other Docket Administrators and the Docket Manager as needed.
Perform other duties as assigned.
Minimum Education & Experience Requirements:
Minimum two (2) years of experience in law office calendaring.
Strong understanding of legal terminology, pleadings, and court structures, including state, federal, and appellate courts and administrative bodies such as the Trademark Trial and Appeal Board.
Special Requirements:
Proficiency in Microsoft Office Suite (Word & Excel).
Experience with or ability to learn CompuLaw docketing software and ECFx.
Ability to type accurately for software use and data entry.
Knowledge, Skills, and Abilities:
Strong ability to interpret court rules and calculate deadlines accurately.
Excellent written and verbal communication skills.
Ability to prioritize workload and meet deadlines in a fast-paced environment.
Superior attention to detail and follow-through.
Strong customer service skills to interact professionally with attorneys and staff.
Ability to work independently with minimal supervision.
Solid math skills for deadline calculations.
Work Environment:
Remote-friendly position with the option to work from home.
Occasional in-office presence may be required for training or equipment retrieval.
Some overtime may be required as needed.
Job Type: Full-time
Pay: $55,000.00 – $65,000.00 per year
Schedule:
Monday to Friday
Weekends as needed
