Legal Department
Eleven attorneys (including the General Counsel) at the FSC responsible for all legal matters in North America (United States and Canada), including ecommerce activities.
Your role at Sephora:
As Legal Administrator you will be primarily responsible for supporting Sephora’s Commercial Legal function on various administrative responsibilities. While reporting to the Associate General Counsel, you will interact primarily with relevant business and retail partners both in the field and at the FSC. In addition, you will:
Distribute time sensitive legal correspondence and inquiries (received from all channels) to appropriate legal team members and business partners
Support Attorneys research and response to inquiries and correspondence
Maintain and manage calendars for AGC and 3 Attorneys on the Commercial Legal team, including contract deadlines, court hearings and appearances
Prepare, edit, and proof legal memos, correspondence and other similar documents and reports
Perform complex administrative duties requiring knowledge of legal terminology and legal processes
Serves as liaison with technical support staff for office equipment
Schedule and coordinate logistics for meetings, travel, and depositions/hearings
Performs routine upkeep of vital legal department policies, contracts and related correspondence
Coordinate, review and maintain outside counsel legal billings and provides variance reports to Counsel, as requested
Supports the management and maintenance of legal library of standard contract templates and contract negotiation processes.
Assist Paralegals with overflow of legal document management and filing
Maintain CLE database to ensure attorney compliance for Attorneys active bar status
Process commercial legal reimbursement and check requests
Coordinate with appropriate team members to timely submit fund requests documentation for legal settlements
Manage equipment inventory for Commercial, Litigation and Employment
Special projects, as assigned by AGC and Senior Attorneys
We’re excited about you if you have:
At least 5+ years of commercial contract experience gained at a top law firm and/or in-house setting
Association of Legal Administration (ALA) Legal Management certification is a plus
Experience providing legal support at a retail or consumer goods company
Prefer candidates with experience providing executive administrative support in a legal department and who think preventatively and proactively when counseling clients
Technical skills, including the ability to work with databases and document management software
Ability to perform well under the pressure of multiple deadlines
Excellent interpersonal, analytical, communication, negotiating, drafting and problem-solving skills
Sound judgment with ability to balance legal risk and business impact
Ability to work well with a small, tightly-knit team, and the range to deal effectively with everyone from senior management to operations and store personnel
Ability and desire to seek responsibility and work autonomously. Must be able to handle multiple projects simultaneously with strong follow up
