Calendar Clerk – New York, NY

Quintairos, Prieto, Wood & Boyer, P.A., a multi-office national law firm, has an immediate opening for a full-time Calendar Clerk in our New York office. We are seeking a detail-oriented, highly organized individual to join our fast-paced team. This is a hands-on role that plays a critical part in managing deadlines and supporting litigation teams.

Job Summary

The Calendar Clerk is responsible for maintaining the firm’s litigation calendar, tracking court deadlines, scheduling court appearances and depositions, and ensuring all procedural deadlines are met. The ideal candidate will have strong knowledge of New York court systems and civil litigation procedures, and thrive in a deadline-driven environment.

Primary Responsibilities

Maintain and update the litigation calendar, including court appearances, motion deadlines, depositions, hearings, and discovery deadlines

Monitor court dockets and ensure attorneys are aware of upcoming deadlines

Coordinate with attorneys, legal assistants, and paralegals to schedule court proceedings and client meetings

Accurately enter dates and events into calendaring software (e.g., Outlook, case management systems)

Track and calculate deadlines pursuant to court rules and procedures (CPLR, local rules)

Confirm court appearances and file notices as required

Serve as a liaison between the firm and court clerks or opposing counsel for scheduling

Perform additional administrative tasks as assigned

Requirements

1+ year of experience in a calendar clerk or docketing role in a law firm environment

Familiarity with New York State and Federal Court rules, including e-filing procedures (NYSCEF and PACER)

Strong organizational skills with attention to detail and accuracy

Excellent verbal and written communication skills

Ability to manage multiple tasks and prioritize in a fast-paced setting

Proficiency in Microsoft Office Suite (Outlook, Word, Excel); experience with legal calendaring software a plus

High School Diploma or equivalent required
