JOB SUMMARY
Kutak Rock is seeking a full-time Legal Administrative Assistant in its downtown Los Angeles, CA office. This position provides support to attorneys in our Public Finance practice in collaboration and coordination with other staff members, helping nonprofits with their financing and capital needs. The ideal candidate will be a team-oriented professional who looks to grow professionally in a collegial and collaborative environment. The candidate will have regular interaction with partners in the Public Finance working group and will interface with clients as needs arise in the closing of transactions.
RESPONSIBILITIES
- Prepare and/or edit legal transactional documents, correspondence, and/or contracts in draft and final form to incorporate handwritten or typed revisions
- Assist with compiling transcripts, reviewing, summarizing, and coding pertinent documents
- Create and manage virtual closing rooms/collaboration sites
- Prepare, proofread, and edit legal documents
- Prepare legal documents for e-mail transmission to clients
- Identify and compile documents for closings
- Assemble signature pages and final documents for transcripts
- Handle confidential records and information with discretion
- Organize and maintain extensive sets of files, both electronic and paper
- Maintain e-mails and documents within the Firm’s Document Management System (NetDocs) and properly profile each document pursuant to the Firm’s Document Retention Policy
- Maintain work calendars by scheduling appointments, conference calls, meetings, and professional organization events
- General office and administrative duties, such as preparing invoices and internal record keeping, opening and closing files, and assisting with scans, copies and printing
- Assist with other tasks as assigned or necessary within the Department
- Flexible with hours when work demands, and other duties as assigned
QUALIFICATIONS: Skills and Abilities
- Ability to maintain confidentiality of firm and client matters
- Excellent verbal and written communication skills to interact directly with attorneys, clients and other firm members on a daily basis
- Proficient knowledge of Microsoft Office, including the use of PowerPoint, Excel, Styles and Schemes
- Proficient knowledge with Adobe and/or Kofax PDF
- Ability to work under pressures of deadlines and complete large volumes of work accurately and timely
- Ability to prioritize and multitask, moving from one project to another efficiently
- Ability to work well independently with little supervision
- Ability and desire to learn and adapt new skills and technologies quickly
- Aptitude to interface with lawyers, clients, and staff professionally
- Proactively accept responsibility and take direction for work assignments and tasks
QUALIFICATIONS: Education and Experience
- High school diploma (or equivalent) required, associate or bachelor’s degree preferred
- 2+ years of legal secretary or administrative assistant experience
- Preference given to those with experience in a law firm or corporate legal department
Position Information
Status: Non-Exempt
Salary Range: $70,000-$85,000 per year, commensurate with education and experience.
Work Arrangement: Hybrid 4:1 with Manager approval
