Job Summary
We are seeking a detail-oriented and proactive Legal Administrative Assistant to support our law firm, which specializes in franchise and intellectual property law. The ideal candidate will have at least 2 years of legal administrative experience, excellent organizational skills, and the ability to manage multiple tasks efficiently. This part-time role (25–30 hours per week) has the potential to transition to full-time. Initial working hours will be 11:00 AM to 4:00 PM MST.
Key Responsibilities
Administrative Support: Manage scheduling for client meetings, emails, deadlines, and attorney calendars, even in a fast-paced and sometimes chaotic environment.
Document Management: Format, proofread, and review legal documents to ensure accuracy and professional standards are met.
File and Database Management: File and organize documents in the online database, ensuring easy access and proper organization.
Client Communication: Respond to client correspondence and inquiries professionally and courteously.
Website Maintenance: Review and update website content as necessary to keep information accurate and aligned with business needs.
General Office Assistance: Provide administrative support to attorneys and paralegals as needed, remaining adaptable in a sometimes hectic workflow.
Qualifications
Education: An associate’s or bachelor’s degree in a related field is preferred.
Experience:
Minimum of 2 years of experience as a legal administrative assistant or in a similar role.
o   Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
o   Experience with document management systems, preferably Worldox.
o   Familiarity with communication tools like Slack for team collaboration.
o   Skilled in using Google Suite (Docs, Sheets, Drive, etc.) for file sharing and organization.
o   Strong computer skills with the ability to troubleshoot minor technical issues independently.
o   Comfortable working in a remote environment.
o   Ability to quickly adapt to new software and technology as needed.
Skills:
Strong written and verbal communication skills.
Exceptional organizational skills and keen attention to detail.
Ability to prioritize tasks and manage multiple deadlines effectively.
Familiarity with legal procedures and documentation.
Proactive in following up with attorneys and staff to ensure tasks and deadlines are completed on time.
Schedule and Compensation
Hours: 25–30 hours per week to start, with the potential to transition to full-time. Initial schedule is 11:00 AM to 4:00 PM MST.
Pay: $20–$25 per hour, based on experience and qualifications.
