Due to continued growth within Pallas Capital, we are seeking a proactive and highly organised Legal & Administration Assistant to join our Credit & Loan Management team in Melbourne.

Supporting the settlement and funding of Pallas Capital's growing commercial real estate loan portfolio, this hands-on role is suited a detail-oriented professional with sound commercial judgement and a background in administration, legal support or loan settlements. Working closely with internal stakeholders, external solicitors and borrowers, this role is key in coordinating loan settlements, managing documentation and ensuring transactions are completed accurately, efficiently, and to a high standard.

The successful candidate will be required to work from the office five days per week.

Key Responsibilities

  • Manage loan files from formal approval through to settlement and funding in partnership with the Credit team.
  • Coordinate and book settlements, prepare settlement checklists and supporting documentation.
  • Monitor outstanding conditions precedent and post-settlement requirements to ensure timely completion of funding milestones.
  • Conduct legal, company and property-related searches as required.
  • Maintain accurate loan, security and settlement records, registers and related documentation within internal systems.
  • Track critical dates, document execution requirements and security registrations.
  • Manage Equifax and title alerts, discharge documentation and consent requests as required.
  • Support compliance record-keeping, audit requirements and document retention obligations.
  • Liaise with internal stakeholders, solicitors and external parties to facilitate efficient settlements and loan administration outcomes.
  • Provide administrative support to the Legal team, including inbox management, correspondence and reporting activities.

About You

  • 2–5 years' experience in loan settlements, conveyancing, mortgage operations, legal support and/or loan administration.
  • Previous experience in a legal assistant, settlements, lending or administrative support role.
  • Demonstrated understanding of loan settlement processes, with PEXA experience highly regarded.
  • Excellent attention to detail and a high level of accuracy when handling legal, loan and settlement documentation.
  • Strong communication and stakeholder management skills, with the ability to work autonomously, manage competing priorities and build effective relationships in a fast-paced environment.
  • Strong administrative, organisational and time management skills, with the ability to meet deadlines and deliver high-quality work.
  • Proficient in Microsoft Office, including strong Excel skills.
  • A collaborative working style, with strong integrity, sound judgement and the ability to maintain confidentiality.
