WHAT YOU'LL DO
Office Operations
- Open the office each morning by 9:00 AM and manage front-end operations
- Answer phones, route calls, and take accurate messages
- Maintain and organize physical and electronic case files
- Manage attorney and case calendaring and scheduling (with a path to full ownership)
- Draft and send routine correspondence
Pre-Litigation Case Management
- Conduct client intake — gather information, explain the process, and build rapport from the first contact
- Open insurance claims and send notice letters to carriers and adjusters
- Communicate with clients regularly via phone and our text-based case management platform
- Request, track, and organize medical records and billing documentation
- Coordinate with insurance adjusters and other parties as directed
- Manage claims submissions and track submission status (with a path to full ownership)
- Support all pre-litigation functions to allow the paralegal to focus on litigation work
Team Collaboration
- Take direction from both the managing attorney and the senior paralegal
- Actively learn our case management system, workflows, and firm processes
- Identify opportunities to improve processes and contribute ideas proactively
- Adapt to a dynamic environment where priorities shift and flexibility is valued

QUALIFICATIONS
Required:
- High school diploma or equivalent
- Strong written and verbal communication skills
- Proficiency with standard office software (Microsoft Office, Google Workspace, or equivalent)
- Ability to manage multiple tasks and priorities in a fast-paced environment
Preferred (but not required):
- 1–3 years of experience in a legal, medical, or insurance office environment
- Familiarity with personal injury, no-fault, or insurance claims processes
- Experience with legal case management software
- Experience using AI tools or automation platforms in a professional context
