Position: Leasing /Legal Assistant (British Columbia)

Job Title: Leasing and Legal Assistant

Reports To: Vice President Leasing, Western Canada Region (Vancouver Office)

Department: Leasing, Western Region

Position Summary: Provide administrative leasing and legal support to the Vancouver-based Leasing-Legal Team. Duties as described below.

Responsibilities: The specific duties and responsibilities for this position include but are not limited to the following:

Leasing

Respond to field leasing enquiries;

Assist with site information gathering and drafting lease documentation and correspondence sent to prospective and existing tenants;

Prepare Deal Summary Sheets, Lease Request Forms;

Review and revise commission agreements, process broker commission invoices, and act as liaison between tenants and accounting;

Maintain leasing database, tracking schedules, and various leasing reports;

Prepare amending agreements, extension agreements, assignments of lease (for existing tenants), and Offer to Lease;

Review existing tenant leases and understand tenant history;

Send waiver letters and copies of leases to tenants once a binding agreement is in place;

Attend functions on behalf of the department;

Liaise with planning, construction, finance, legal, and accounting departments as needed;

Organize filing and clerical responsibilities for Leasing Managers;

Assist in preparing external and internal meetings;

Provide reception relief as required;

Other projects as assigned.

Legal

Provide partial administrative and secretarial support to the Associate Counsel. Duties include general clerical and project-based work, such as:

Update legal project plan binders with accurate information;

Prepare/revise drafts of lease documentation, purchase and sale contracts, etc.;

Prepare draft assignment documentation, lease terminations, and similar documents;

Organize legal and leasing files;

Perform general clerical duties including photocopying, faxing, mailing, filing, and couriers;

Manage time billing for the team;

Other related duties.

Academic/Professional Requirements:

College Diploma and/or Certificate, preferably in Administration or related field.

Required Skills/Experience:

Minimum 3 years of office/clerical experience in a commercial real estate environment or equivalent;

Ability to prioritize workload and multitask effectively;

Good understanding of legal documents;

Excellent oral and written communication skills, with the ability to communicate effectively across all levels of management and outside the organization;

Understanding of lease terminology;

Proficient in MS Word, PowerPoint, and Excel;

Strong analytical skills and attention to detail.

The expected base pay range is: $67,000 – $77,000. Compensation may vary based on location, experience, qualifications, or skills.
