Job Overview
The Deputy Clerk provides back-up support for the Town Clerk, Tax Collector, Motor Vehicle Agent, Inland Fisheries and Wildlife Agent and Registrar of Voters. The Deputy Clerk is responsible for assisting with issuing marriage, birth, and death certificates, marriage licenses, dog licenses, absentee ballots, game licenses and recreational vehicle registrations. The Deputy Clerk is also responsible for assisting with the collection of taxes, preparation and execution of motor vehicle registrations, transfers, and other transactions required by state law for motor vehicles and trailers. This position requires public contact, the handling of money, a high level of professionalism, a positive image and the ability to handle a multitude of tasks to ensure the public is served efficiently and effectively.

Duties

Assist the Town’s Agent to the Commissioner of Inland Fisheries and Wildlife by issuing hunting and fishing licenses. Acts as backup to the Motor Vehicle & Inland Fisheries and Wildlife Agent with weekly and monthly reports.
Prepares and issues marriage licenses and birth, marriage and death certificates.
Issues absentee ballots, registers voters and aids with other election and voter registration duties.
Issues dog licenses and aids with overdue notices.
Collects excise, State sales tax and registration fees as appropriate for motor vehicles, trailers, motor homes, snowmobiles, boats, ATVs and motorcycles.
Collects revenue from real estate tax and personal property tax and transmits to the Business Office Manager according to the Internal Control Document and the Maine Municipal Association (MMA) Tax Collector’s Handbook.
Being a Maine Notary and performing Notary services.
Other Duties as requested

Qualifications

Previous experience in municipality and as a notary is preferred.
Customer service and telephone experience
Strong data entry skills with a high level of accuracy.
Proficient in word processing software and other office applications.
Excellent clerical skills with attention to detail.
Ability to handle cash transactions responsibly.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Ability to handle sensitive issues involving the public with tact.
Familiarity with Municipal and State systems such as TRIO WEB, MOSES, DAVE and CVR is a plus.
