Job Description: 
BBELG is seeking a responsive Legal Administrative Assistant to provide vital administrative and clerical support to attorneys and legal staff. This role requires a detail-oriented and organized individual who can manage multiple tasks efficiently in a fast-paced legal environment. This position will also act as the Orange Park office’s brand ambassador for Berg Bryant Elder Law Group, PLLC, by welcoming clients and their caregivers before consultations. The ideal legal admin assistant will have a passion for learning and an interest in pursuing a paralegal career path in elder law. This individual will be caring and attentive to our clients’ needs. 
 
THIS IS NOT A WORK FROM HOME POSITION. 
 
Essential Responsibilities: 
Greet clients professionally, offer refreshments, and direct them to the appropriate meeting room upon arrival  
Answer telephones, using the provided script, and take detailed and accurate messages, correctly filter calls, and forward messages to appropriate team members 
Manages attorney calendars, schedules appointments, and coordinates meetings
Keeps meeting rooms stocked in preparation for in-person meetings, and prepares space for new meetings in between consultations 
Confirm appointments with clients, update case notes, and forward messages to appropriate team members 
File court documents electronically (e-filing) and track case deadlines
Scan, organize, and maintain physical and digital case files and client records 
Print meeting materials for potential client meetings daily 
Communicate clearly with internal and external stakeholders using different platforms, including but not limited to Microsoft Teams, GoTo, and Outlook 
Make court and bank runs as needed 
Collect payments from clients before attorney meetings 
Create and send accurate daily logs to teams for review 
Act as witness to client signings as requested, may have to travel off-site with attorney or paralegal 
Request performance surveys from clients after meetings or calls 
Assist with client intake and conflict checks
Prepare, format, and proofread legal documents, correspondence, and filings
Handle other administrative tasks as needed to support attorneys and office operations 
Requirements: 
2+ years of administrative experience in a legal or professional office setting
Proficient in Microsoft Office (Word, Outlook, Excel) and PDF editing tools
Excellent organizational skills and attention to detail
High school diploma or equivalent required; associate’s or bachelor’s degree preferred 
Adaptable to new technology and software tools 
Experience with legal practice management software (e.g., Actionstep) preferred 
Strong written and verbal communication abilities
Proven efficiency managing multiple calendars for executives or attorneys 
Ability to maintain confidentiality and manage sensitive information
Interest in elder law and paralegal career path
