The Law Department is comprised of three divisions: the City Attorney’s Office, which handles representing the City in civil matters, the City Prosecutor’s Office, which handles the prosecution of misdemeanor crimes committed in Phoenix, and Management Services.
The City Attorney’s Office is seeking a Legal Secretary*U8 to join the Transportation section. This section is primarily responsible for legal work representing Phoenix Sky Harbor International Airport and consists of five attorneys and two legal secretaries. The work location is at the Aviation Department Corporate Office Building near Sky Harbor airport.
Responsibilities include:
Providing customer service via answering phones, greeting clients, escorting visitors, etc.
Assembling data and coordinating workflow for timely preparation of routine correspondence and legal documents by work processing.
Scanning, docketing, and providing mail to attorneys for review daily.
Reviewing documents for completeness, and typographical and formatting errors.
Preparing and mailing miscellaneous correspondence to opposing counsel.
Preparing and/or drafting ordinances, pleadings, letters, memos, agendas, reports, and general correspondence.
Docketing court documents and correspondence in the case management system (ProLaw).
Preparing and sending closed files to City Records and complete forms at a minimum once per year, in compliance with department procedures.
Maintaining case files – open, close, and create files.
Managing attorney calendars.
Managing and monitoring multiple electronic mailboxes.
Processing invoices timely.
Preparing comprehensive travel packets that includes conducting research of flights, hotel, ground transportation, parking estimates, etc.
Providing daily work logs to the supervisor.
Preparing documentation for supply ordering and maintaining organization.
Updating office phone cards, organizational chart, work schedules, holiday schedules, etc.
The ideal candidate works successfully as part of a team and possesses strong organizational and communications skills.
SALARY
Pay Range: $23.74 to $35.08 per hour.
Hiring Range: $23.74 to $31.82 per hour.

Pay range is the entire compensation range for the position classification.
Hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.

MINIMUM QUALIFICATIONS
Two years of clerical experience in a legal setting, including training in typing and stenography.
Other combinations of experience and education that meet the minimum requirements may be substituted.

PREFERRED QUALIFICATIONS
The minimum qualifications listed above, plus:
Legal secretarial experience working with minimal supervision.
Customer Service/Front Desk/Receptionist experience.
Docketing experience using a program and manually docketing dates along with managing files.
Experience with:
Legal terminology, principles, precedents, procedures, and research methods.
Filing documents and briefs in Superior, District, AZ Court of Appeals, 9th Circuit and Supreme Court.
Rules of Court, Evidence and Discover, Federal Privacy Act, Freedom of Information Act, and City Ordinances.
Planning and organizing workload to comply with established time constraints.
