JOB DESCRIPTION – DEPUTY CLERK TREASURER
PAYROLL
-Weekly Payroll processing – Approximately 30 Employees
-Process Trust & Agency account weekly and monthly online bank transfers
-Keep track of and file Personnel records –Maintain employee accruals worksheet weekly.
-Monthly reporting retirement employee contributions to NYS Retirement System
-Notify Saratoga County with all employment changes with Personnel
-Prepare and file Payroll Warrants before each Board Meeting
ACCOUNTS PAYABLE/ACCOUNTING
-Run A/P checks every 2 weeks, mail checks and file vouchers
-Assist Deputy Treasurer with A/P vouchers when necessary
-Process journal entries as necessary
-Assist with bank account reconciliations
-Accounts Receivable for invoices and special receipts
WATER AND SEWER
-Customer Service both phone and window
-Enter all meter reads from books into system
-Process W/S bills twice per year (March/September)
-Process payments and input into the system
-Track any issues with W/S bills and rectify the issue
-End of day cash out & balance cash drawer
-File paid bills
-Record request for Water/Sewer turn off or on information and update Edmunds software
TAX
-Process tax bills twice per year
-Process payments and input into the system
-End of day cash out & balance cash drawer
-File paid bills
-Prepare relevy report for the County
MISCELLANEOUS
-Answer phones daily
-Provide customer service daily
-Mail distribution daily
-Provides clerical support to Clerk Treasurer, Mayor, Board of Trustees, Superintendent of Public Works, Building Inspector (phones, taking meeting minutes, make copies, filing, customer interaction, etc.)
-Prepare Tax searches
-A/R invoicing typing, receiving, and recording (tax searches, water, sewer, misc. etc.)
-Ordering all office supplies and maintain inventory list
-Copying & Filing new property transfers after writing them into the current tax roll
-Miscellaneous projects given by Clerk Treasurer
-Update Village Website
-Process Omitted Taxes for Town Assessor
-Registrar of Vital Statistics (Appointment)
-Notarize Documents as needed
-Fill in for Clerk Treasurer at bi-weekly Board meetings when they are unavailable
Planning Board
-Miscellaneous clerical work for the Planning Board
-Prepare agenda, vouchers & tape for the monthly meetings
-Notify newspaper of public hearing ads
Zoning Board
-Miscellaneous clerical work for the Zoning Board
-Prepare agenda, vouchers & tape for the monthly meetings
-Notify newspaper of public hearing ads
Job Type: Full-time
Pay: $22.00 – $25.95 per hour
