About the Role:
We’re seeking a proactive and personable Client Intake Specialist to be the first point of contact for professionals exploring their next career move. Your job is to qualify incoming leads, gather essential background details (resumes, goals, etc.), and ensure each client is fully prepared for their Career Strategy Session — setting the stage for a high-impact coaching experience.
You’ll also reach out to warm leads who have engaged with our tools, webinars, or social content, encouraging them to schedule a consultation and take the next step.
This is not a closing or sales role — but your work directly impacts how effectively we serve and convert new clients.
What You’ll Do:
Reach out via phone, email, SMS, and LinkedIn to connect with new leads
Qualify prospective clients using a proven framework (training provided)
Gather resumes, background info, and career goals before their first session
Schedule strategy sessions with our coaching team (goal: ~4 per day)
Follow up with leads not yet ready to move forward, keeping them warm
Log activities and details in our CRM (Close.io) and hit outreach targets
Work closely with coaching and client success teams to ensure a smooth handoff
You’re a Fit If You:
Have 1+ year of experience in client-facing roles (customer service, education, admissions, outreach, or support)
Are a confident communicator and natural relationship builder
Enjoy qualifying and organizing leads, not hard selling
Are comfortable using multiple communication tools and learning new systems
Thrive in a fast-moving, remote environment
Are detail-oriented and motivated by structure and outcomes
Love helping people take action toward their goals
Bonus Points If You Have:
Experience working with a coaching or service-based business
Familiarity with CRM systems (Close.io, HubSpot, etc.)
A background in admissions, career services, education, or program coordination
