IP Patent Administrator Jobs in United States at KP Recruiting Group

Title: IP Patent Administrator

Company: KP Recruiting Group

Location: United States

It's an exciting time to join us. We're a Boston-headquartered intellectual property boutique approaching its 100-year anniversary, making it one of the oldest and most established IP-focused firms in the United States.

💰 $90k-$102k base salary plus strong benefits package: Blue Cross Blue Shield, 401(k) with employer match plus discretionary profit sharing, tuition reimbursement, parental leave, $60/month commuter benefit and charitable matching.

  • 35-hour workweek with real OT: Non-exempt staff work a 35-hour week and earn overtime above 40 hours. That's genuinely rare at peer firms.
  • 5 weeks PTO standard: Non-exempt employees get 5 weeks paid time off. Exempt employees get unlimited (and people actually take ~5 weeks).
  • Flexible hybrid or fully remote: Only 2 days in-office required (most people do Tue/Wed or Wed/Thu). If you're 50+ miles from an office you can work fully remote with essentially zero travel.

🎯 Pure IP focus: You'll work exclusively in patent prosecution — no getting pulled into other practice areas or generalist drift.

🚀 Direct docket ownership: You pair directly with 1–5 attorneys within a single practice group and run their prosecution dockets end to end. No pool seat — you own the work.

🏢 Remote if you live in the following states: (ME, NH, VT, MA, CT, RI, NY, NJ, MD, DE, VA, NC, MN, IL, DC)

The Role:

We're searching for an IP Administrator with 3–6 years of continuous domestic US patent prosecution experience at a law firm who can independently prepare and file the full suite of USPTO documents at high volume. You should be comfortable handling 10–15 filings on a busy day while supporting 1–5 attorneys within a single practice group, and have a track record of managing dockets with meticulous accuracy under deadline pressure. Bonus points if you come from a high-volume IP boutique or BigLaw IP group.

What You’ll Do:

  • Independently prepare and file patent prosecution documents with the USPTO — Office Action responses, IDS submissions, issue fee payments, RCEs, PCT national stage entries, continuations, divisionals, formal drawings, declarations, assignments, and terminal disclaimers
  • Take ownership of attorney dockets end to end, monitoring deadlines and proactively surfacing upcoming filings to your assigned attorneys
  • Work directly with 1–5 patent attorneys within a single practice group, managing their prosecution workflow across multiple clients
  • Review and act on incoming correspondence including electronic mail, docketed information, and client instructions consistent with firm policy
  • Research USPTO rules, MPEP, and firm resources to resolve procedural questions independently before escalating
  • Organize and maintain the integrity of electronic IP files and data across all matters
  • Coordinate with other firm departments to ensure filings and tasks are completed on schedule
  • Mentor and train junior team members as you grow into the role
  • Support special projects and participate in system testing and pilot programs as needed

What We're Looking For:

  • 3–6 years of domestic US patent prosecution experience in a law firm or professional IP setting, with hands- on filing volume commensurate with a high- volume IP boutique
  • Law firm IP prosecution background required
  • High- volume filing experience (10+ filings/day)
  • Multi- attorney docket support (1: 3–1: 5 ratio preferred)
  • IP boutique or BigLaw IP group background preferred
  • Bachelor's degree preferred, not required
  • Full US prosecution filing suite proficiency
  • IP docketing/management software experience
  • MPEP and USPTO rules research proficiency
  • MS Office proficiency (Outlook, Word, Excel)
  • Foreign filing coordination familiarity
  • Extreme attention to detail — zero tolerance for errors
  • High- volume pressure tolerance and reprioritization ability
  • Self- starter with independent problem- solving orientation
