growing and well-established organization is seeking an experienced IP Client Administrator with a strong background in domestic patent prosecution to support attorneys and internal teams in a fast-paced, deadline-driven environment. This role plays a critical part in managing patent filings, maintaining docket accuracy, and ensuring the smooth execution of prosecution activities.
Key Responsibilities
- Prepare, review, and manage domestic patent prosecution filings and related documentation
- Maintain accurate docketing systems, track critical deadlines, and ensure data integrity across all matters
- Support attorneys with day-to-day patent prosecution activities, including correspondence and filings
- Monitor USPTO deadlines and ensure timely submissions and compliance
- Coordinate with internal teams to ensure efficient workflow and timely completion of tasks
- Review case files for accuracy, completeness, and consistency
- Assist with process improvements, system updates, and documentation enhancements
- Support onboarding and training initiatives as needed
- Communicate with clients and external stakeholders regarding case status, deadlines, and required actions
- Prepare and manage client reporting, status updates, and portfolio summaries as needed
Qualifications
- 3–6 years of experience in domestic patent prosecution (law firm experience preferred)
- Strong knowledge of USPTO procedures, rules, and timelines
- Experience with IP docketing systems and case management tools
- Proficiency in Microsoft Office (Word, Outlook, Excel)
- Highly organized with exceptional attention to detail
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Strong written and verbal communication skills
- Ability to work independently in a remote setting
