Our client is seeking a detail-oriented IP Legal Assistant to provide administrative and legal support to a team of Intellectual Property attorneys. This role is ideal for someone who thrives in a fast-paced legal environment, has exceptional organizational skills, and enjoys managing multiple priorities while ensuring accuracy and confidentiality. The Legal Assistant will play a key role in supporting patent and trademark prosecution, attorney scheduling, document preparation, client communication, and overall practice management.
Responsibilities
- Provide administrative support to a team of Intellectual Property attorneys.
- Prepare, edit, proofread, and format legal correspondence, filings, reports, and other legal documents.
- Assist with patent and trademark prosecution matters, including preparing filing documents and maintaining deadlines.
- Manage attorney calendars, schedule meetings, conference calls, and client appointments.
- Coordinate domestic and international travel arrangements and process expense reports.
- Maintain electronic and physical client files while ensuring accuracy and confidentiality.
- Monitor and track deadlines using docketing and calendaring systems.
- Communicate professionally with clients, foreign associates, the USPTO, and internal teams.
- Open new matters, perform conflict checks, and assist with client intake processes.
- Prepare engagement letters, billing requests, and client invoices as needed.
- Assist with document management, e-filing, and organization of case materials.
- Support attorneys with special projects and other administrative duties as assigned.
Qualifications
- 3+ years of legal assistant experience, preferably supporting Intellectual Property, Patent, or Trademark attorneys.
- Strong knowledge of legal terminology and law firm procedures.
- Experience with patent and/or trademark prosecution is highly preferred.
- Familiarity with USPTO filings and IP docketing systems is a plus.
- Excellent written and verbal communication skills.
- Exceptional attention to detail and organizational abilities.
- Ability to manage competing priorities and meet deadlines in a fast-paced environment.
- Strong proficiency with Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
- Experience with document management and billing software is preferred.
