Job Description:

The Intake Specialist is the primary point of contact for prospective clients, responsible for managing initial inquiries, screening cases for eligibility against firm criteria, and scheduling phone consultations. They increase attorney productivity by gathering key details, fostering client trust, and onboarding new cases NEOS.

Key Responsibilities

  • Lead Management & Screening: Conducting initial phone screenings to obtain information and determine if a case fits the firm’s practice areas.
  • Client Communication: Acting as the first point of contact, ensuring potential clients feel heard and understood.
  • Data Entry: Accurately entering client information into case management systems (e.g., NEOS) to track the lead pipeline.
  • Scheduling: Coordinating, scheduling, and confirming client phone consultations.
  • Onboarding: Assisting with the initial onboarding process, collecting necessary documents and explaining next steps.

Required Skills and Qualifications

  • Communication: Exceptional verbal and written communication skills for managing high-volume, sensitive conversations.
  • Organization: Strong attention to detail for accurate data entry and follow-up.
  • Knowledge: Familiarity with medical and legal terminology.
  • Technology Proficiency: Digital literacy, experience with Outlook, Word and/or specialized legal software (NEOS). Type 65 WPM minimum.
  • Customer Service: High empathy and ability to build rapport quickly while moving along the conversation.

The candidate will be required to answer incoming calls to gather relevant information regarding client’s potential case. The goal will be to ascertain details regarding dates, events, injuries/damages, liability, and insurance coverage, as well as the client’s pertinent background, prior employment history, prior medical history, and prior history of litigation to determine the veracity of their case for the consideration of the firm. The job position entails speaking with prospective clients, so professional decorum is required.

After gathering the above information, the job position requires organizing and summarizing the information detailed from calls into short, concise reports to expedite meaningful and prompt review by other professionals and attorneys at the firm. The reports should be organized, concise, and should include all pertinent details pertaining to the above areas.

Preferred Experience:

A medical background is preferred (Nursing, nurse’s aid, medical clinic, medical receptionist). A legal background is also helpful. Previous experience with intake or a customer service position is also desirable.

The candidate should possess strong writing skills along with a proficiency with computers and applications (Outlook/Word/Power Point). Excellent customer service and communication skills, and organizational abilities. Candidates must be able to prioritize their workload and multitask in a fast-paced environment that allows you to work independently and use problem solving skills. The candidate should be capable of gathering information from prospective clients and knowing when to ask for missing information, as well as refocusing clients to remain on topic and timely complete the intake process. The candidate should be timely and ensure that calls are answered, processed, and returned to prospective clients in a timely fashion so that file retention occurs. Candidates should be calm, cool, and collected to help manage and focus intake calls. Strong interpersonal communication skills are required.
