Client Intake and Data Entry Specialist

Kansas Holistic Defenders represents poor and working-class people charged with misdemeanors in Douglas County District Court. Kansas Holistic Defenders seeks to employ highly motivated individuals with a commitment to justice for people enmeshed in the legal system.

Responsibilities

The Client Intake and Data Entry Specialist will serve as the primary staff member responsible for conducting intake interviews with potential clients, entering information into our case management system, directing calls, greeting clients, and managing physical files within the office. This role is responsible for making sure that information about cases is recorded accurately, thoroughly and completely, and also for making sure our clients are connected with the right staff member to help meet their needs.

Data Entry and Filing – 45%

Opening cases as directed into our case management system, faithfully recording all case information;
Uploading court-filed documents to the appropriate cases in our case management system;
Auditing and Checking the accuracy of case outcomes and demographic information recorded by other staff members;
Assisting with e-filing documents;
Entering data, demographic, or case information accurately;
Generating summaries of data as needed for grant reporting;
Locate, organize, prepare and store physical files;
As part of the study team, troubleshoot operational issues as they arise
Other data entry duties as assigned

Client Communication – 45%

Conduct intake interviews with clients as directed, and recording client information accurately;
Being present at answer dockets or first appearance dockets to intake clients as directed;
Answering the office’s main-line and directing calls appropriately;
Directing emails and voicemails to staff;
Directing callers to appropriate community resources;
Greeting clients or office visitors and directing them to the appropriate team member;
Being available at the office during regular business hours unless directed otherwise;
Notarizing documents as directed;

Office Support – 10%

Ensuring the office is secured at end of day;
Stocking office supplies and assisting with office maintenance;
Maintain common areas and workspaces ensuring a clean and organized environment;
Assisting with office management or administrative tasks as assigned by the Director of Operations

Qualifications
To be eligible, applicants must have:

A Bachelor’s degree or a comparable amount of training and related experience may be substituted for the minimum educational qualification

Compensation

$50,400.00/yr, plus benefits
